Procedures for teachers to order field trip lunches
Field trip lunches are required for any trip returning to campus after 12:30 PM.
School meals will not be available.
Ordering
Once you have received the completed permission slips from your parents, order your field trip lunches though Permission Click. Click HERE to watch the instruction video.
Lunches must be ordered at least 2 WEEKS prior to your field trip. Lunches will not be provided unless the field trip lunch order form is completed.
If your field trip returns before the start of lunch or leave after the end of lunch, your students should eat lunch at school and no field trip lunch form is required. In this case, you should use the “No Lunch Required” Field Trip Template when requesting your field trip in Permission Click.
At the top of the form, enter the total amount of lunches and milk needed (milk is optional).
The day before your field trip
Check with the kitchen staff at your school to confirm your order and the location of lunches for pickup the next day.
Kitchen staff is usually in the kitchen between 9:00 am and 1:30 pm.
The day of field trip
On the day of your field trip, pick up your meals from the agreed upon location in your school's kitchen.
A printed copy of your order form will be provided with your lunches.
The printed order form should be used as a check off sheet to confirm that every student who ordered a lunch actually took a lunch.
It is critical that Nutrition Services records students correctly, so we ask that you please take care when making notations on your form.
Only check off students who actually took lunch. Unchecked names will not be recorded.
If another student that is not on the form ends up taking a lunch, please write in that student’s name and ID# on the form.
At the end of the day, please return your cooler bags AND your completed form to the school kitchen.
It is important that we get these items back as soon as possible.

Synergy Meal Counts
Why are meal counts important?
Meal counts help the NS staff estimate the type and amount of food to prepare each day. These counts are important to make sure that all students get what they want for breakfast and lunch.
Each morning you will take a count of who is eating breakfast and lunch and record it in Synergy. Enter counts by 9:00 AM or 9:30 AM for late start schools. This year there will be a place to enter a breakfast count and a lunch count. A meal count report is emailed to your school NS staff in the morning, so they can estimate the amount of food needed for the day.
Breakfast
Ask the students to raise their hand if they are going to get breakfast in the cafeteria
You do not need to read the menu, this is just a total count so that the staff can prepare enough meals
In Synergy, enter the total number of students that raised their hands for breakfast.
Lunch
Read the menu option to the students each day. Entrée items will no longer be identified as regular or vegetarian, but rather as Option 1 or Option 2. It is best to name the menu items for the day. Some students who are not vegetarian may want the vegetarian option or vice versa.
The link to the menu can be found under “Home” drop down in TVUE menu through Synergy.
Count the number of students that want Option 1 and the number of students that want Option 2.
In Synergy, enter the total number of Option 1 lunches and total number of Option 2 lunches.
On some days there might only be 1 option, on these days the item is always vegetarian.
Meal Pick Up Procedures
Each student will need to be recorded when they come to pick up a meal. Students can scan their meal card or enter their student ID number on the keypad.
Schools and teachers can decide if the students hold on to the meal card or develop a system for kids to deposit them in a designated area after they pick up their meal. This type of system would need to be organized and monitored by the school, not the nutrition services staff.
Students should NOT take their meal cards home.
Teachers and/or teachers aides are not allowed to pick up meals for students, unless approved ahead of time by the NS Manager.
Students that don’t have their meal card or know their student ID number will need to wait at the end of the line until all students have been scanned or enter their number.
The quickest way to ring up students is by scanning their meal, and we highly recommend this method.

Picking Up Meals
Students will come to pick up their meals at the cafeteria. They will self select items out of the salad bar, and milk if they want it.
At lunch, every student is required to take at least one fruit OR one vegetable. Students DO NOT need to take one of everything offered. Milk is optional.
Once they get to the window, the student will notify the NS staff what they ordered; Option 1 or Option 2, scan their meal card or enter their student ID number on the pin pad and take their meal
The scanner is located below the keypad, and there is still one scanner per computer.
If a student does not have their meal card AND doesn’t know their student ID number, they will need to step out of line and wait until all the students with meal cards or numbers go through first

Reminders
Do not allow students to take their meal cards home.
These meal cards will be used for the entire school year. Please remember to collect them daily and store them for easy access in your classroom.
If you received a student’s meal card from the wrong class, please return it to the front office. Do not use it for another student.
A student must have their meal card or know their student ID number in order to pick up breakfast and/or lunch from the cafeteria.
Monthly menus will not be printed for schools to send home

A printable version is available on the website if needed, although it is not recommended since menus are subject to change. For the most updated menu, it is recommended to view the menu online.
