For the 2026-2027 academic year, each Allen School Affiliated Student Organization will receive up to $1500 in funding for their student organization.
Allen School Affiliated Student Organizations can use the 2026-2027 Student Organizations Request Form (please email Linda for the link) to make purchase requests. This is the primary way most organizations utilize their $1500. All requests must be made at least 10 business days in advance of your event/activity.
Make your request at least 10 business days in advance of your event/activity (deadline note: catering requests must be made a week in advance) using the Request Form mentioned above.
Examples of previously approved purchases include: Non-perishable snacks / food items (chips, granola bars, fruit snacks, instant noodles, etc.), candy, capri-sun, energy drinks, event decorations, fidgets toys, gifts or prizes around $20, polaroid film, tri-fold posters boards, keychain plushies / trinkets, stickers, crafts
*Items that are shipped frozen cannot be purchased. There is no way to ensure that the package will be recieved in a timely manner that ensures the quality of food remains.
Note: If you're requesting craft items, please check the student orgs closet to see what is already available. If it is, Linda may suggest to utilize items available in the closet. As an example, there is a lot of acrylic paint, so we will not be purchasing more this academic year.
Explain why you need each item you are requesting for purchase and how it relates to your Allen School Affiliated Student Organization mission/event
Include links or a document containing all links.
Amazon is the easiest & preferred way for us to purchase items (note: we cannot order from Amazon Fresh, or items that are shipped frozen)
You are more than welcome to request for us to make a purchase from another retailer/store if it is unavailable on Amazon. However, we strongly encourage you to figure out the delivery date for the item(s) before you request a purchase to ensure that your item will arrive on time.
Clearly indicate the date or date range of when the items are needed
Double check the delivery date to ensure that the item you are requesting will arrive in a reasonable time.
Note: it can take a few extra days for packages to arrive at CSE2 once they have arrived on campus.
Linda may make substitutions if your item(s) will not arrive on time, and will let you know via the Responses Sheet (linked on Request Form).
If requesting items to be used at a fundraising event, please include a copy of your signed fundraising form from the SAO.
The Allen School will not:
create UW worktags (budgets) or bank accounts for Registered Student Organizations.
manage funding on behalf of any group. Student Organizations need to manage this independently and follow processes in accordance with requirements from the HUB, and the Allen School will not be responsible for Student Organization funds.
provide additional funding beyond the $1500 (with the exception of the events approved via the Event Proposal Form).
rollover unused funds to next academic year. Funding is approved for 2026-2027 academic year only and does not roll over into the next academic year.
use funding to pay for UW Classroom Reservations
use funding to purchase perishable foods (e.g. Costco cookie orders) or catering unless the event is a catered-approved event via the Events Proposal Form process.
use funding to pay for subscriptions, gift cards/vouchers, hazardous/dangerous items.
process any reimbursement requests (with some rare exceptions - there are some instances where student organization leaders will be directed by Allen School staff to make a purchase and request reimbursement).
use funding to pay for travel expenses.
use funding to purchase items for resale (i.e. candygrams, swag, etc.)
approve fundraising events in Allen School spaces unless the RSO can provide a signed fundraising form from the Student Activities Office
All orders will be ready for pick-up at the Gates Front Desk, unless arranged otherwise with Linda.
Ensure that you take any packing materials with you and/or dispose of them elsewhere.
There is a tracking sheet titled “Student Org Pick-Up Sheet”. When picking up orders, students must:
Find their organization and order description on the sheet
Print name, date, and initial on the corresponding row(s)
For questions or concerns about orders:
