Your food service software is the point at which several sources of information are gathered together to facilitate and properly track both what your customers are eating and the related financial details. Your food service software then uses this information to report these activities in a variety of ways.
The vast majority of information contained in your food service system comes from your student information system (SchoolTool for most customers).
Every night (after school hours), Sunday through Thursday, your student information system sends us a complete list of all the students in each district at that moment in time. That information is then imported into your food service system. During that process:
New students are added to your food service system.
Any changes to information about existing students is updated using the data from your student information system.
Those actions only happen if the student is assigned to one of your licensed sites (typically an elementary, middle, or high school). If a student is not assigned to one of your licensed sites, they are not imported.
The only information that is exclusive to your food service software (not imported from your student information system) is either information you manually add/edit or a student's free/reduced status determined by a direct certification process or an application process, and other edits/notes you might manually adjust or enter for each student.
In summary, this means your food service system contains a combination of information sent to it by your student information system, the free/reduced processes of direct certification and application entry, and manually data entry.
Since the import process from the student information system only takes place once per day (in the middle of the night), new students and data edits related to existing students made within your student information system will not be seen until the following morning.
Students with incomplete data in your student information system like an incorrect building assignment or missing caregiver information will not be imported.
The accuracy of the vast majority of the student data seen in the food service products is entirely dependent upon your organization's registrar and how they are entering that information in your student information system.
Every few minutes, food service systems communicate with MySchoolBucks.com. Information is exchanged so that:
Funds added to a student's account by a caregiver are reflected at points of sale.
Funds spent at a point of sale are removed from account balances.
Meal/Food choices are relayed to caregivers through their MySchoolBucks.com account.
Data leaves your food service software for a variety of reasons.
Most often, data in the food service system is placed on reports that are saved and/or printed.
Wednesday afternoons around 3-4 PM, data is exported for use in the data warehouse (SIRS exports).
Monday through Friday, typically around 4-5 PM, data is exported (for most customers) to be used by phone calling systems to convey account balance matters to caregivers.
Information leaving your food service system for external destinations is only valid as of the time of the export. Therefore, the schedule for those exports is important to understand when trying to determine or troubleshoot any issues discovered at/in the destination locations.
