CARD will supply a list of employees that will work at your site prior to the first day of school. Once the list is received, it is your responsibility to assign the staff to groups of students that they will monitor during the program. The staff comes with varied experiences working with children and may require you to mentor them with some needs such as; classroom management, activity planning, and general understanding of working in an educational facility. As staffing changes, you will be notified by CARD.
Student to staff ratio for CARD employees is 15:1. School employee ratio is 20:1.
The Attendance Clerk is generally a school aide and they are not qualified under the grant to be in direct supervision of students. However, they can interact with students in a tutorial manner while in the presence of a leader or teacher. The Attendance Clerk’s responsibilities include: scanning in daily attendance to TRAX, contacting families for absences, manning the attendance desk, greeting parents and calling for students, and any other supportive needs for the program.
Interventions may occur during your program and include program students. The staff that is hired to conduct interventions is generally hired by the site administrator and is not under your direct supervision. However, supporting students in attending interventions is an important responsibility of the program.
Leaders have been told that they are generally expected to not take off more than 2 days planned per month. It is possible they may take off more than 2 days for illness or other personal emergencies. So if you have 10 Leaders at your site, you should plan for at least 20 subs in the month.
As the Coordinator, it is your responsibility to make sure staff are communicating any time off they need. When a substitute arrives at your program you should ensure they feel welcomed and supported. The following steps can help achieve a positive experience for any substitute and help them have a successful day at your program.
Introduce the substitute to all staff and help make them feel welcome. Ask them how they would like the students to address them. (ex: Mr., Ms., Leader) You can also ask them what their pronouns are.
Review program rules and any important site information.
Let the substitute know of any allergies and/or major behavior issues to be aware of.
Give the sub a tour- include supply storage, restrooms, and playgrounds.
Share the daily schedule, assign the sub a group and tell them what activities they will facilitate for the day.
Introduced the substitute to the children at the start of the day.
Check in with the substitute throughout the day to see how you can support and coach them.
At the end of the day thank, them for subbing at your site.
Choose a time once a week, either before or after program, that your team can have a meeting. This meeting is to last no longer than one hour. All staff are required to attend the weekly meeting unless they don't work on the day of the meeting or have a scheduled conflict. It is your responsibility to lead this meeting and have an agenda that includes the following:
An opening question or topic for discussion for all staff to discuss (example: roses & thorns)
Review upcoming activities
Discuss any site or behavioral concerns
Weekly Coordinator meetings will be scheduled by Kalyn and are mandatory for all Coordinators to attend and actively participate in these meetings.
