Staff are scheduled to arrive approximately 15 minutes before the start of the program. Please use this time to:
Restock your homework bin
Gather supplies for your planned activities
Set up for Recreation Time
Ensure you are fully prepared for the day
Staff should return to the MPR and be ready to check in their students at the time school is released.
Grades 1–5
Students in 1st through 5th grade will walk from their classrooms to the Multi-Purpose Room (MPR) for check-in. Upon arrival, staff will support students in the following areas:
Check-In: Assist students in checking in using the appropriate attendance folder.
Belongings: Help students place their items in their designated area.
Voice Level: Remind students to use inside voices.
Snack Time:
Help children get their snack.
Keep students seated while eating.
Address inappropriate behaviors (e.g., playing with food).
Ensure students clean up after themselves and throw away trash properly.
Kindergarten Students
Kindergarteners will be picked up from their classrooms by staff and brought to the program space. Staff will assist them with:
Putting away their belongings
Getting a drink of water
Using the restroom
Heading to the cafeteria for snack
Daily Attendance
Every child must be signed in and out each day. This process is overseen by the Attendance Clerk or Site Coordinator.
Check-In Process
Staff will assist with checking in students using their assigned color-coded folders for their designated group of 15 students.
Each staff member is responsible for checking in the same group daily.
Mark each student as “here” or “absent.”
Once completed, return the folder to the Attendance Clerk, who will scan all students into the system.
Check-Out Process
If someone arrives to pick up a child:
Direct them to the sign-out area.
A designated staff member will assist with the sign-out process.
Do not release any child without a proper sign-out.
The restroom is the only time during the day when a child may be out of direct staff supervision. Because of this, it’s essential to follow safe and appropriate restroom protocols at all times.
Staff may not enter the restroom when children are inside. If a child needs to use the restroom, you have 2 choices;
You can take your group on a restroom run and monitor behavior from outside the door.
1-5th grade students: You may allow one child to use the restroom independently. Make sure to keep track of how long they have been gone and ensure they return to your group.
TK and Kinder students may not go to the bathroom unsupervised. Planning group bathroom runs in your daily schedule will minimize the need for children to go on their own. If a child does need to use the bathroom outside of the group bathroom runs, ensure that you can see the child enter and exit the bathroom.
Each site has their own procedures for restroom use and the site supervisor will review these with staff.
Note: Staff should always use the adult restroom.
All children must be fully potty trained and able to use the restroom independently. This includes:
communicate their need to use the bathroom
use the toilet without making a mess
wipe and pull up their pants
flush the toilet
turn on and off the water
get soap and paper towels from the dispenser
change their own underwear
In the event of a bathroom accident, staff will contact parents/guardians to request immediate pick up or assistance with cleaning and clothing change.
Staff MAY NOT assist children in the restroom but they MAY give guidance from outside the restroom. If a child changes their soiled clothing, it must be bagged up and made inaccessible to the other children.
Reoccurring bathroom accidents may result in removal from the program. In the event of reoccurring bathroom accidents, contact your site Coordinator for guidance.
