Everything you need to know to put on a virtual event!
Many volunteers may not know much about Charity Week beyond it being a week of charity. Hosting an Assemble event is the perfect opportunity to share the vision, a chance to INSPIRE, and to prove to the hearts that UNITY is the answer to the problems we are facing everywhere.
This ultimately will build hype, and get volunteers prepared for what is to come.

The event will mainly revolve around different presentations and the opportunity for questions. You may also have some smaller group activities.

You now need to decide which platform to host this event, consider the following factors to help make your decision from what you’ve decided above. .
Number of attendees (certain platforms have limits, or will charge for more attendees)
Do you want interaction from the attendees, either via speaking or chat box. (dependent on the platform, you can cater for this)
Do you want to host the projects workshop with all attendees or break into smaller groups. For this you will have to use a meeting platform and for breakout, use zoom.
A TOP TIP for timing is choosing a time when most people will have no classes or lectures. Consider prayer times, and avoid if possible. The event itself should be ideally 60 minutes, and definitely no longer than 90 minutes.
A TOP TIP on choosing the day is to hold it at least a week before Charity Week. It can be a great opportunity to motivate new and old volunteers and get everyone ready for CW!
Create a poster (including why they should take part, and what platform the event will be on)
Utilise your social media accounts to advertise. It can be useful creating a Facebook event and messaging into facebook and WhatsApp groups.
A TOP TIP is to utilise your institutions mailing list and also encourage key people to spread the word.
Be sure to have a team to run the event. Roles they can take up are:

Hosting the event
Make sure the host is someone who is a combination of funny and serious. The host is responsible for keeping to time (if we are running over, they should cut down the next segment)
Interacting with the audience

A TOP TIP is to have a trial run on the platform and streaming to familiarise yourself and help the event run smoothly.
You've done the planning, now is the time to ensure everything runs smoothly!
Ensure you’ve completed a trial run before the event
Start the platform early, to solve on the day issues. But also time for people to join
Have the team all ready, early
If you’re hosting any guest speakers: ensure a reminder is sent for your event and confirm they are coming a few days before.
Ensure you have sent clear joining instructions to all.
Start and finish with dua. The team that prays together, stays together. Make sincere du’a that we all stay united and work together for His sake and are successful
Think of all of the possible things that could go wrong and put measures in place to prevent this from happening. E.g. speaker not turning up on time, issues with platform starting, people struggling to join.
An event does't finish when your guests leave, wrap up the experience with excellence!
