Everything you need to know to prepare an amazing event!
To know what platforms you require to host your quiz, you will first need to decide which type of quiz/game show you would like to hold.
You may want to have a Quiz where everyone can answer all questions (either as individuals or groups) or slightly different formats such as jeopardy (SEE EXAMPLE SLIDES) , ‘who wants to be a millionaire’ (SEE EXAMPLE SLIDES) , family feud (SEE EXAMPLE SLIDES) or ‘Hot seat live’.
Prepare the quiz/game show. Click here for our Question Bank!
Categories included: General Knowledge, Geography, Science, Animals, Sports, Quran, Islamic Knowledge, TV, Film, Art & Literature, Food, Maths, Vocab
For questions which are especially difficult to cheat on, check out our second Question Bank! Made up of emoji, picture, word and number based questions.
If you’re using a PowerPoint as the basis of your quiz here are some TOP TIPSs!
If you’re making your own:
Make sure you have written out the questions and have timer
Add animations to make it better
If you’re using a template: Make sure you change the questions/ make necessary adjustments and run through it a few times to familiarise yourself with how it works
An example can be jeopardy/who wants to be a millionaire or family feud.
Kahoot
Go to kahoot.com to prepare your own kahoot style quiz
Quizshow
Go to Quizshow.io to prepare your own buzz in style quiz
(There is a lag sometimes so be sure to test this out before preparing the whole game)
“Hotseat” live
Make sure you have questions and categories open in front of you before you go live
This type of quiz requires unique rules, so make sure you come up with the format before hand
Examples
Rule example 1: Once the participant comes on the live, they have categories to pick from. Each category has 5 questions. For each question they get right, £1 goes to the bank. If they get a question wrong, they have to donate the money accumulated in the bank to online page. If two people on the same team want to submit different answers, the wrong opponent has to donate £5 + money accumulated in the bank to the online page. .
Rule example 2: Once the participant comes on the live, they have to answer 5 questions within 10 seconds. If they answer all of them correctly then they get a prize, however if they get even one wrong they have to donate £5 to online.

You’ll need to choose a platform you are going to steam the quiz/ game show on so everyone can tune in. Click here to see our suggested platforms.
Think about branding and ensure the people who are promoting the event know what the event is, as this will be invaluable during its promotion.
Create an eye-catching video or poster that could be shared on your social media and maybe even your Unions social media. It can be useful creating a Facebook event and messaging into facebook and WhatsApp groups.
A TOP TIP is to utilise your Institutions mailing list and also encourage key people to spread the word.
There are many ways to sell tickets, from simple online transfers, to using online platforms such as Eventbrite.
A TOP TIP when using Eventbrite is to have your tickets as free on the site and ask contestants to use bank transfer/paypal or donation page to send the ticket money (to avoid additional processing fees). Another option is also to ask your union if you can use their website to sell tickets too.
A TOP TIP is to send access and preparation details to attendees once they have purchased a ticket via your chosen method. Or you can add them into a facebook or WhatsApp group to receive access details on the day of the event.
Be sure to have a team to run the event. Roles they can take up are:
Operating the platform
Hosting the event (Your quiz hosts will make or break your quiz, so choose wisely. Try to find a person or duo well known on campus and have that confidence and humour!)
Interacting with the audience
Troubleshooting
A TOP TIP is to have a trial run on the platform and streaming to familiarise yourself and help the event run smoothly.
Have prizes available to entice participants. A TOP TIP is to talk to local businesses for a gift or meal vouchers or experience vouchers that you can use.
You've done the planning, now is the time to ensure everything runs smoothly!
Start the event with an opening Islamic / motivational reminder
Share the vision of Charity Week, by playing a short video about Charity Week
Ensure someone is keeping an eye on the chat box to build Interaction with the audience
Some ways can be to:
Short timer
Come up with questions that cannot be googled such as cryptograms and your own corsswords etc
Make everyone turn cameras on and put their phone the side
Ensure you’ve completed a trial run before the event
Start the platform early, to solve on the day issues. But also time for people to join
Have the team all ready, early
If you’re hosting any guest speakers: ensure a reminder is sent for your event and confirm they are coming a few days before.
Ensure you have sent clear joining instructions to all
Sometimes the option to “request to go live” does not work or does not connect to the other person. Test it out beforehand.
If it does not work then make a zoom, and pin the ID and Password in the comments section. People can choose to participate via zoom
Be sure participants mute the live when they come on zoom to avoid echo
The live only lasts 1hour
When the live is ending you can alert your viewers that you will be starting a new live shortly
There is a small lag between the time you speak and the time the viewers see you speak, as a result the comments are also delayed
If you do not have the pro version, then the link will only work for 40mins.
Either purchase the full version, find someone who has the pro version or send out multiple links for each session.
You will not be able to view everyone on one page.
If you are sharing your screen you cannot see everyones webcam so ensure the type of quiz/gameshow you are making does not require you to see the participants cameras
The laptop makes multiple pages of people’s webcam once their are 20+ participants
Only one person can be heard at a time.
Facebook live allows you to write a description when it posts your live, make sure to make it a compelling description
Facebook live does not allow people to request to go live, so either have to have
a zoom prepared if you wish participants to join or;
Seek help from your regional events team or institutions team who may be able to contact an IR fundraiser to help you set up
Note: participants will have to be pre-decided and will not be able to request to go live during the stream
Only 50 participants can join at a time.
Need the messenger app on mobile or desktop
Cannot share screen
There is a 60 minute cap
Only up to 100 participants
If you are sharing your screen you cannot see everyones webcam so ensure the type of quiz/gameshow you are making does not require you to see the participants cameras
You may need to have designated people that participants can WhatsApp/message answers too and make sure there is time for the designated people to calculate points
For example half the teams submitted their answers to one person (person A) and the other half to another person (person B) to help ensure no one was overwhelmed with messages and could calculate scores as answers came in.
There was a difficult challenge every 5 questions which gave person A&B a chance to calculate points while the teams submitted their challenge answers to person C
You may need someone to write down who is donating what so that you are able to follow up with donations
For example during live streams when a person loses, someone other than the host should write down their username and how much they need to donate so that they can follow up with them later
Think of all of the possible things that could go wrong and put measures in place to prevent this from happening. E.g. speaker not turning up on time, issues with platform starting, people struggling to join.
Before you end the event, inform everyone of your other events, how they can get involved and even how to donate.
An event does't finish when your guests leave, wrap up the experience with excellence!
Thank all those that attended, this can be done by sending a message via your social media and sign up lists
A TOP TIP is to use this moment to remind them of your upcoming events and share your donation link.
Make sure someone is in charge of sending out the prizes
Make sure someone is in charge of following up with the donations
There are always hiccups or lessons that we learn, but do we make sure that the team next year will learn from these? Use our template event planning document to keep a record of how you put on your event and also any feedback to pass onto next year's team!
