Everything you need to know to prepare an amazing event!
Decide on what game your competition will be for, and how many participants you want to allow for.
This will then help you decide how many rounds you want, and how you will organise how the winners of each round will move on.
A TOP TIP is having a WhatsApp group for all the participants to help inform everyone of updates.
GROUP STAGE - 8 random groups of 5 will be generated. Play each player in your group once (4 fixtures for each player). Top two from each group qualify for the knockout stage. 3 points per win, 1 point per draw, 0 points per loss. If two teams are on level points, goal difference will be the deciding factor.
KNOCKOUT STAGE- Round of 16, Quarter Final, Semi-Final, Third-Place Playoff & Grand Final. Knockout stages will be straight knockout, if the scores are level at full time, a replay will be played (as unfortunately online friendlies in FIFA 20 can’t go to extra time/penalties).
Fixtures will be released in batches. You will have a 48 hour window in which to complete each fixture. A list will be provided with all player names, numbers and PSNs so that you can arrange a suitable time with your opponent within the window to play your fixture. If anyone fails to attend a fixture, they will forfeit an automatic 3-0 win to their opponent. Dates for when each batch of fixtures will be released once enough people have signed up to the tournament.
The winner of each fixture is to send a picture of the end game screen, as evidence of the result.
Due to the rounds, the event itself will have to run over a few days, You may want to run the event the week before CW, in order to build some hype. All the participants can also then be encouraged to take part in CW more!
Decide on a sign up cost to take part. This will form the main way you will raise money for CW through this event.
A big draw to this event will be a prize to be won. A TOP TIP on getting the best prizes is to approach local businesses to see if they’re willing to donate a prize. You may wish to also offer some advertising on your poster etc in return.
Think about branding; have a tag line and ensure the people who are promoting the event know what the event is, as this will be invaluable during its promotion.
Create a poster (including ticket details, why they should take part, the prize on offer)
Utilise your social media accounts to advertise. It can be useful creating a Facebook event and messaging into facebook and WhatsApp groups. You can also ask everyone else involved to share on their social media pages too.
A TOP TIP is to utilise your institution mailing list and also encourage key people to spread the word.
You've done the planning, now is the time to ensure everything runs smoothly!
Share the vision of Charity Week, by sharing a short video or message about Charity Week with all the participants.
Have a few team members to monitor the progress of games, and ensure each round is being completed within the time frame.
Have a point of contact for any issues and support needed.
An event does't finish when your guests leave, wrap up the experience with excellence!
Once it’s time to announce the winner, create some hype and share the winner on social media. And ensure they receive the prize offered.
Thank all those that attended, this can be done by sending a message via your social media and sign up lists
A TOP TIP is to use this moment to remind them of your upcoming events and share your donation link.
There are always hiccups or lessons that we learn, but do we make sure that the team next year will learn from these? Use our template event planning document to keep a record of how you put on your event and also any feedback to pass onto next year's team!
