The Online Cultural Fair will offer people the opportunity to experience different cultures and experiences! It is a perfect opportunity to reach out to difference groups and societies and get them involved with Charity Week too.

Everything you need to know to prepare an amazing event!
You can either have segments for each culture to present, or you could have multiple links or breakout rooms so different groups are presenting simultaneously. And the audience attends whichever they choose.
You want to reach out to different groups, clubs and societies for the opportunity to present their culture/country they represent.
For each culture, here are some ideas of what you might want to be covered. Choose what you think your audience will find most interesting and engaging.
•A brief history of the country/culture
•Discuss Famous Events/Icons
•Teach viewers short words/phrases
(Eg. Hello, Maybe there is a unique greeting, or else just random fun phrases)
•Teaching them to count to 10 in their native language
•Show and discuss the food
•Do's and Don'ts of the country/culture
(Eg. Finishing all the food on your plate is disrespectful to the host. So fun/unique facts)
•Q&A for viewers
•Short competition at the end of show, where host asks questions to see who learnt from the presentation, winner gets bragging rights
•Hosts could dress up in their culture/country wear
(Where applicable, they can teach them how the outfit is correctly worn)
•Backdrop of host could be the flag representing the culture/country
A TOP TIP is to have no more than 3 hosts per presentation. And to set a max time.
To decide which platform to host this event, consider the following factors to help make your decision.
Number of attendees (certain platforms have limits, or will charge for more attendees)
Do you want interaction from the attendees, either via speaking or chat box. (dependent on the platform, you can cater for this)
A TOP TIP for timing is choosing a time when most people will have no classes or lectures. Consider prayer times, and avoid if possible.
A TOP TIP on choosing the day is to hold it Before or mid week in Charity Week. It can be a popular and chilled event.
Think about branding; have a tag line and ensure the people who are promoting the event know what the event is, as this will be invaluable during its promotion.
Create a poster (including ticket details, why they should take part, and what platform the event will be on)
Utilise your social media accounts to advertise. It can be useful creating a Facebook event and messaging into facebook and WhatsApp groups. You can also ask everyone else involved to share on their social media pages too.
A TOP TIP is to utilise your Institutions mailing list and also encourage key people to spread the word.
You may also want to have a prize element to attract more attendees.
There are many ways to sell tickets, from simple online transfers, to using online platforms such as Eventbrite.
A TOP TIP when using Eventbrite is to have your tickets as free on the site and ask contestants to use bank transfer/paypal or donation page to send the ticket money (to avoid additional processing fees). Another option is also to ask your union if you can use their website to sell tickets too.
A cool idea could be to email all attendees a ‘ticket’ which looks like a passport, following the theme of experiencing the adventure of travel and culture.
Be sure to have a team to run the event. Roles they can take up are:
Operating the platform
Hosting the event (Your quiz hosts will make or break your quiz, so choose wisely. Try to find a person or duo well known on campus and have that confidence and humour!)
Interacting with the audience
Troubleshooting
A TOP TIP is to have a trial run on the platform and streaming to familiarise yourself and help the event run smoothly.
Have prizes available to entice participants. A TOP TIP is to talk to local businesses for a gift or meal vouchers or experience vouchers that you can use.
You've done the planning, now is the time to ensure everything runs smoothly!
Start the event with an opening Islamic / motivational reminder
Share the vision of Charity Week, by playing a short video about Charity Week
Ensure someone is keeping an eye on the chat box to build Interaction with the audience
Ensure you’ve completed a trial run before the event
Start the platform early, to solve on the day issues. But also time for people to join
Have the team all ready, early
If you’re hosting any guest speakers: ensure a reminder is sent for your event and confirm they are coming a few days before.
Ensure you have sent clear joining instructions to all
Think of all of the possible things that could go wrong and put measures in place to prevent this from happening. E.g. a group not turning up on time, issues with platform starting, people struggling to join.
Before you end the event, inform everyone of your other events, how they can get involved and even how to donate.
An event does't finish when your guests leave, wrap up the experience with excellence!
