The activities of all ARCs on campus will be coordinated by a Coordinating Committee of five people.
Members of the Coordinating Committee will be elected by the members of all ARCs each year and will serve for one year. Members of the Committee may seek additional terms without limit, but are encouraged to make space for others to serve.
Elections will take place at the May “summit” meeting. Prospective Committee members may be nominated by themselves or others and will have the opportunity, if they wish, to make a short statement in support of their candidacy. Voting will be by acclamation if the number of candidates is equal to the number of Coordinating Committee seats or by anonymous ballot if there are more candidates than seats.
The Coordinating Committee will elect from among its members a Facilitator to coordinate the activities of the Committee and to ensure that the Committee meets its obligations fully and with integrity. The Committee may also agree to vest individual committee members with special responsibility for particular aspects of the Committee's charge.
The Coordinating Committee will be responsible for carrying out the following tasks.
Coordinating prompts. This includes:
Sending out a prompt every two weeks to all ARCs; and
Managing the process for creating prompts.
Coordinating group membership. This includes:
Helping new participants form groups or join existing groups that have openings;
Placing members in different groups if an unresolvable schedule or personality conflict arises; and
Providing an appropriate orientation for new group members and ensuring that they have met the required prerequisites.
Coordinating the twice-yearly “summit” meetings. This includes:
Scheduling and sending out invitations to all participants
Reserving an appropriate venue; and
Developing an agenda.
Supporting individual or multiple ARCs in their activism. This might include:
Putting groups with similar interests in touch with one another to facilitate collaboration
Coordinating larger efforts between multiple ARCs
Helping to build bridges between Champlain College and the local community; and
Helping with communication/publicity as needed.
Managing logistics. This includes:
Maintaining an up-to-date mailing list of group members; and
Maintaining a Google Site, Drive folder, or other repository of resources.
The Coordinating Committee is tasked with ensuring that prompts are sent out to ARCs every two weeks. However, the Committee is not tasked with creating the prompts. To ensure diversity of topic and perspective, prompts should be developed by different ARC groups in turn. The Coordinating Committee’s job is to manage this process.
In rare cases when a serious and emergent event arises that the Coordinating Committee feels all ARCs should address immediately, it may provide a prompt relating to that event, but this should not be a regular practice.
