Now that you have done all the research, contacted relevant suppliers and gathered all the necessary information, it’s time to pull it all together into a concise and impressive proposal & quote format. The format you use to create your proposal is up to you and what’s best for your business. You can create your own template (this is particularly relevant for those IC’s who operate under their own business name and branding) or you can use one of the Cartology proposal templates. Alternatively you can use one of the great itinerary creating software tools available within the industry. If you do decide to invest in one of these programmes, we would highly recommend Axus. It's sleek and easy to navigate for both you and your clients.
Follow the Steps Below:
Create a Proposal using one of the relevant Cartology templates or build it straight in Axus if you have it (see guide below)
We also recommend looking at the Inspiration Folder in the 3.Sample Client Docs: Proposals, Inspiration where you will find a few examples of great itineraries to help guide you
Pulling all the elements together to create an accurate quote for your client can be a little complicated so we have created a useful tool to help you calculate and track all the details. Open the Quote & Invoice Tool (Sheets → Templates), along with the Guide for Quotes & Invoices (below)
You can now Create a Quote for your clients, to send along with the proposal
It can be useful to have a call with clients once they have received the proposal to talk through it. Also consider having your DMC join you for the call
It is also very important to recommend comprehensive travel insurance to the clients for a number of reasons. This is a good point to raise the subject of travel insurance to clients so they are in a position to purchase it at the same time as their deposit payment.
