Office Frontline Transactions
The Office of the University Registrar (OUR) is composed of six (6) Frontline windows that serve students and walk-in customers daily. These windows operate distinct functions and schedules, and when the need and situation arise, their functions and schedules might be interchanged and changed, respectively. However, the following schedules and functions are the default for the following windows:
Window 1 (Receiving Section)
This window serves transactions related but not limited to (a) Request for Release of Academic Records (i.e., Transcript of Records, Diploma, Certifications, and the like), (b) Application for Validation of Courses (Course Credit), (c) Application for Graduation, and (d) Request for release of Data or Reports.
The schedule of its operation is as follows:
Monday to Friday
8:00 AM to 5:00 PM (No Lunch Break)
Except Holidays and Non- Working Days Declarations
Window 2 (Releasing Section)
This window serves transactions related but not limited to (a) Release of Requested Academic Records (i.e., Transcript of Records, Diploma, Certifications, and the like), (b) Release of Completion of Grade Form, and (c) Release of Requested Data or Reports.
The schedule of its operation is as follows:
Monday to Friday
1:00 PM to 5:00 PM
Except Holidays and Non- Working Days Declarations
Windows 3, 4, 5, and 6 (Processing Section)
These windows serve transactions relative to students' concerns such as but not limited to: (a) Inquiries, (b) Release of Forms, (c) Application for Enrollment Revisions (i.e., Adding or Changing of Courses, Shifting of Program, Student Reinstatement, Change of Personal Information, Withdrawal of Enrollment and/or Entrance Credentials, Student Leave of Absence, Substitution of Courses, Outbound Enrollment), and (d) Submission of Requirements of Documents.

These windows serve students according to the colleges they are designated to:
Window 3:
College of Humanities and Social Sciences (CHaSS),
College of Mathematics and Natural Sciences (CMNS), and
Graduate School (GS) programs vertically under the CHaSS and CMNS.
Window 4:
College of Computing and Information Sciences (CCIS),
College of Engineering and Geo-Sciences (CEGS), and
Graduate School (GS) programs vertically under the CCIS and CEGS.
Window 5:
College of Education (CEd), and
Graduate School (GS) programs vertically under the CEd.
Window 6:
College of Agriculture and Agri-Industries (CAA),
College of Forestry and Environmental Sciences (CFES), and
Graduate School (GS) programs vertically under the CAA and CFES.
Office Telephone Desk
Telephone calls with inquiries pertaining to transactions with the OUR are initially handled by the Internal Coordination In-charge. General information is provided, and callers are forwarded to specific office personnel as needed.

Office Incoming Communications
All documents of communication (Memoranda, Special Orders, Letters, etc.) to the OUR must be received by the Internal Coordination Section of the OUR.
For electronic communications, they should be sent directly to the official email address of the OUR. The OUR shall not be responsible for requests made through unofficial arrangements.
