1. Overview
Bowen Tech Champions values and respects the privacy and safety of our students, staff, and visitors.
This Privacy & Data Policy explains how the Bowen Tech Champions AI Assistant handles information when you use the service, including conversations, locally stored chat history, offline features, and connected AI services.
The AI Assistant is designed primarily as an educational and technology-support tool for the Bowen community.
2. Chat Conversations
When you use the online AI Assistant, messages submitted to the assistant may be processed by the AI services and backend infrastructure required to generate a response.
Please do not enter sensitive or confidential information into the AI Assistant.
This includes:
* Passwords
* OTP codes
* Account credentials
* Banking or payment information
* Confidential school information
* Sensitive personal information
* Identification documents
The AI Assistant should not be used to submit information that you would not normally share with an online technology service.
3. Local Chat History
The AI Assistant may provide a chat history feature that allows users to return to previous conversations.
Where supported, chat history is stored locally on the user’s device or browser rather than being intended as a central Bowen Tech Champions account database.
Locally stored information may include:
* Conversation messages
* Conversation titles
* Timestamps
* A locally generated device identifier used to organise conversations
Users can use the available history controls to delete individual conversations or clear their locally stored chat history.
4. Offline Mode
The AI Assistant may provide an offline mode containing selected Bowen Tech Champions information.
When offline mode is active, locally available information can be accessed without requiring the online AI service.
Offline mode does not provide the same capabilities as the online AI system and may contain only a selected portion of the Bowen Tech Champions knowledge base.
5. AI Processing & External Services
When the online AI service is used, messages may be transmitted to the relevant AI service or backend infrastructure required to generate a response.
The AI Assistant may therefore rely on third-party technology, hosting, networking, or AI infrastructure to provide its online functionality.
These services may have their own privacy policies, security practices, and data-retention policies.
For this reason, users should never submit confidential or sensitive information to the AI Assistant.
6. Attachments & Voice Features
Depending on the version of the AI Assistant available, features such as file attachments, speech-to-text, or text-to-speech may be provided.
Information processed through these features may be handled differently depending on the technology being used.
Users should avoid uploading or providing:
* Confidential documents
* Passwords or account credentials
* Personal identification documents
* Sensitive student information
* Other information that should not be shared with an online service
Where possible, only provide the minimum information required to receive assistance.
7. Device Identifiers & Technical Information
The AI Assistant may use a locally generated device identifier to organise features such as chat history.
This identifier is intended to distinguish locally stored assistant data on a particular device and is not intended to identify a student or staff member by their school identity.
Additional technical information may also be processed by the hosting, networking, or AI infrastructure required to operate the service.
8. Privacy & Student Safety
The AI Assistant is designed with student safety and responsible technology use in mind.
However, no online system can guarantee absolute security or complete privacy.
Users should always:
Think before sharing.
Protect their accounts.
Avoid providing sensitive information.
Verify important information.
If a situation involves personal safety, serious technical issues, school accounts, or sensitive information, users should seek assistance from an appropriate teacher, staff member, or official school support channel.
9. AI Limitations
AI-generated responses may occasionally be inaccurate, incomplete, outdated, or unsuitable for a particular situation.
The AI Assistant should therefore not be treated as an official authority or a replacement for teachers, ICT staff, or school administrators.
For important school-related matters, users should verify information through official school channels.
10. Data & Privacy Inquiries
If you have questions about the Bowen Tech Champions AI Assistant or its handling of information, you may contact us through:
Bowen Tech Champions
Email: techchampion@bws.edu.sg
For school systems, accounts, or administrative matters, please use the appropriate official school support channels.
11. Policy Updates
This policy may be updated when the AI Assistant’s features, infrastructure, or data-handling practices change.
The latest version will be published on this page.
**Important Reminder
Please do not enter passwords, OTP codes, confidential school information, or other sensitive personal information into the Bowen Tech Champions AI Assistant.
