Officer Duties
The president shall preside over general PTO meetings of the organization and executive board and meetings and serve as the primary contact for the school administration, represent the organization at meetings outside the organization, serve as an ex-officio member of all committees except the nominating committee, and coordinate the work of all the officers and committees so that the purpose of the organization is served. The President shall monitor all donation requests and receipts, maintain an up-to-date log, and manage the process to ensure transparency and strong relationships with businesses and donors. Other duties include strategic planning and long term decision planning. The President is responsible for member engagement and delegating responsibilities.
The vice president shall assist the president and carry out the president’s duties in his or her absence or inability to serve. The vice president shall also oversee the committees of this organization. The vice president shall also serve as an ambassador for the PTO to the school. The vice president shall be active in long-term planning. The vice president shall be responsible for encouraging member engagement including, but not limited to membership enrollment initiatives, preparing/publishing volunteer calendars, and sending correspondence in regards to volunteer opportunities and making sure all participants are approved volunteers.
The treasurer shall receive all funds of the organization, keep an accurate record of receipts and expenditures, and pay out funds in accordance with the approval of the executive board. He or she will present a financial statement at every meeting and at other times of the year when requested by the executive board, and make a full report at the end of the year. The treasurer will also ensure the organization’s insurance policy is up to date and is responsible for handling nonprofit and tax-exempt status applications and renewals. After elections, the treasurer must ensure that outgoing leadership surrenders their debit cards within 5 days and is removed from all bank account access within 10 business days.
The secretary shall keep all records of the organization, take and record minutes, prepare the agenda, and handle correspondence. The secretary also keeps a copy of the minutes book, bylaws, rules, membership list, and any other necessary supplies, and brings them to meetings. The secretary must maintain a signed and updated copy of the by-laws at all times. The secretary must respond to all correspondence directed to the PTO. After elections, the secretary must ensure that all official records are transferred to newly elected leadership.
