Island Syndicate, a creative agency that offers publishing, photography, video production and related content creative services to our clients, has an immediate opening for an administrative coordinator with project management skills and a range of proficiencies.
Salary: $35,000 - $40,00 (commensurate with experience)
Primary responsibilities include:
Planning and managing various daily operations
Scheduling and managing teams, engagements and management calendars
Supporting sales, marketing and production teams
High level admin functions including bookkeeping, government certification applications, proposal drafting, contract review
We are looking for an experienced high level Administrative Coordinator to assist with oversight of our company’s general daily operations. You will report to the executive team, and your job will include structuring business systems based on best practices from your previous experience, keeping teams and management organized, identifying and teeing up business development opportunities, and assisting with administrative work including bookkeeping.
The position combines intellect, proficiency and boldness. We expect excellent organizational and leadership skills as well as keen problem-solving abilities.
Establish smooth-running office systems and procedures.
Assist with planning and project management for various jobs.
Manage schedules and enforce deadlines (for management and creative team including photographers and videographers).
Track and manage advertising and service sales and billing.
Use the Internet and other forms of media and networking to identify potential clients, partners and opportunities.
Apply for appropriate government certifications, and seek out opportunities for contracting based on those certifications.
Seek out and establish relationships with prime contractors for appropriate contracting opportunities.
Bookkeeping and budget management.
Resolve issues as they arise.
Maintain contact lists.
Produce and distribute correspondence memos, letters and forms.
Assist in the preparation of regularly scheduled reports.
Develop and maintain a filing system.
Handle logistics associated with meetings and appointments.
Strong word processing skills with proficiency in English (we use Google Drive).
Strong knowledge of spreadsheets.
Bookkeeping (we use Quickbooks).
Excellent organizational and leadership skills.
Excellent use of search engines, the Internet and other media for business.
Knowledge of government systems and software.
Excellent verbal and written communication skills, including ability to draft correspondence with minimal direction.
Exceptional interpersonal skills and strong team orientation.
