BEING PROFESSIONAL: TELEPHONE
BEING PROFESSIONAL: TELEPHONE
> By answering the phone in a quick time (usually around the third ring) it will prevent making the caller wait and will also give the impression that you are eager to answer the phone, which will be particularly useful if the caller is a potential employer or a university. As well as this by answering the call quickly it will save time for both you and the caller, if it is not possible to answer the phone it is important to turn voicemail on to avoid the call to continue ringing, again saving time for the caller.
> You should always greet the caller respectfully, always answer confidently. It is important that you do not sound confused, as this may be a potential employer. If you are unsure who is calling always ask.
> Always ensure that when you have answered the phone you are talking and sounded positive. By talking with a smile there can be a noticeable change in the tone which tends to be much more professional, friendly and affable. This will particularly benefit you when talking to employers, managers or universities.
> Talking clearly over the phone allows the call to flow much more smoothly and efficiently. This will prevent both yourself and the caller having to repeat what they are saying.
> Instead of using slang words such as 'cool' or 'no probs' you can use much more professional phrases such as 'you are welcome'. Try avoiding filler words such as 'like' or 'um' and focus on using more professional language.
> By using a positive and upbeat tone it can help other callers feel much more comfortable, at ease and welcomed. It will also put a much more positive impression on the caller, again which will benefit yourself if the caller is an employer, university or an interviewer.
