Following unauthorized access incidents at Instructure on May 2 and May 8, 2026, Ateneo requires all Canvas users to implement enhanced security measures and backup procedures. This guide provides comprehensive instructions for protecting your account and ensuring academic continuity.
The critical activities for the university are the final assessment days and the submission of grades. Below are some action steps that the faculty may implement in order to continually conduct their work without interruptions, in the event that Canvas becomes inaccessible. For students, please see the instructions in section C in order to access your course materials offline.
B. GRADING (FOR TEACHERS)
Submitted Assignments and Quizzes
Download student submissions from the Gradebook
Click on the three dots on the column header of the assignment and look for “Download submissions”. This will create a zipped file of all submissions.
Consider alternative avenues for assessment submission
Online Submission
Send an email to your students instructing them to submit on the email thread. Keep it organized by class, section. Provide file naming conventions (eg Class_Last Name_Name of Assignment).
Google Form
Include instructions in the form
Google Drive
Create a Google Drive folder with the Class code and instruct students to upload their submissions there.
Offline Submission
Hard copy submission of their assignments
Downloading Gradebook
Download the Gradebook to keep track of the student submissions and class standing.
Click on Grades on the course side navigation bar)
Click on the Export button (upper right part of the screen)
Choose entire gradebook.
Import and open the .csv file to Google Sheets, Microsoft Excel, or any spreadsheet
Providing Feedback
For submissions on Google Docs and other Google Workspace apps, you can provide feedback via the comment function.
Click on Modules on the course side navigation bar.
Click on “export course content”. It will create a zipped folder.
Unzip and open the folder.
Click on the file “index”. It should create an offline copy of the whole Canvas course.
Suggestion: In the event that Canvas becomes inaccessible, students may need access to this offline copy of your Canvas Course. The same procedure works for a student account.

Access the Tool: Click this link to go directly to your Google Security Checkup.
Review "Your Devices": Check the list of phones, tablets, and computers logged into your account. If you see an old device you no longer use, click the three dots and select "Sign Out."
Check "Recent Security Events": Look for any password changes or sign-ins that weren't you. If everything looks familiar, you're good to go!
Verify "2-Step Verification": Ensure your backup phone number or "Google Prompt" is active. This is your strongest shield against unauthorized access.
Audit "Third-Party Access": Review which apps have permission to see your data. If you see an app you no longer use (like an old project tool), Remove Access to keep your data "Stewardship" clean.
Password Security Guidelines:
Create a Unique 12+ Character Password.
Avoid Personal Information.
Never Reuse from Other Accounts.

For Employees:
Step 1. Go to https://myportal.ateneo.edu/pw/login.php to change password.
(Enter your username (without the “@ateneo.edu”) and password at the spaces provided.)
Step 2. After one hour, login to Blue Eagle Mail at https://mail.google.com/a/ateneo.edu.
(changed or new password will take effect after an hour)
For Students:
Step 1: Access Security Settings
Open your Google Account Settings.
On the left-navigation panel (or the top menu on mobile), select Security.
Step 2: Update Your Password
Scroll down to the section labeled "How you sign in to Google."
Click on Password. You may be asked to sign in again to verify your identity.
Enter your New Password, then enter it again to confirm.
Select Change Password.
