ARIS Olympiad Program runs on clear, student-centered procedures to ensure fairness, safety, and academic rigor. An Olympiad Committee publishes the semester calendar in advance (weekly sessions, assessments, and any weekend intensives), sets selection and progression standards, and communicates expectations for regular attendance, home practice and conduct. Students must meet the program’s minimum attendance requirement, complete assigned work, and follow school behaviour and academic integrity policies to remain in good standing; non-compliance may lead to probation or removal. Competition entries and travel are approved by the Committee, with all official updates shared via the school calendar and email.
The ARIS Olympiad Program prepares motivated students for high-level academic competitions through structured coaching, rigorous practice, and measured progression. These procedures clarify selection, expectations, attendance, assessment, travel, conduct, and governance.
Mandate: Oversees strategy, quality, and safeguarding of the Olympiad Program.
Responsibilities:
Set annual goals, calendar, and selection standards; approve program changes.
Appoint coaches/mentors; review training plans and resources.
Monitor attendance, conduct, and assessment outcomes; rule on probation/disqualification.
Approve competition entries (national/international) and travel rosters.
Conduct semesterly reviews; publish updates and FAQs.
Requirement
Students must maintain ≥90% attendance across all required activities (weekly sessions, weekend intensives if any).
Tardiness: Three late arrivals = one absence.
Excused Absences: Illness (medical note), approved school events, religious observance, or emergencies (parent note) submitted within 48 hours.
Monitoring: Coaches publish fortnightly attendance summaries to students and parents.
Consequences
Warning: Triggered when projected attendance drops below 92%.
Probation: If it falls <90%, student enters a 4-week improvement plan.
Disqualification: If improvement plan fails or absences continue, the Committee may remove the student from the club and any pending competition entries.
Progress Exams: Each semester, students sit an Olympiad Exam (format aligned to program).
Criteria: Benchmarks (cut-scores, rubrics) are published by program; adjustments may be made by the Committee to ensure fairness and rigor.
Outcomes
Good Standing: Meets/exceeds benchmark → continue and/or advance.
Targeted Support: Slightly below → remediation plan and re-check.
Disqualification: Significantly below benchmark or repeated non-submission may lead to removal at the Committee’s discretion.
Academic Integrity: All work must be original; violations follow ARIS Academic Honesty Policy
Entry Approval: Written assessment
Costs: Families cover travel, visas, accommodation, insurance, and incidentals for international events; school covers designated coaching costs as budgeted.
Documents: Valid passport (≥6 months), visas, medical forms, consent & media release, and code-of-conduct acknowledgment.
Chaperoning & Safety: School-approved ratios; 24/7 contacts; safeguarding protocols in effect.
Conduct While Traveling: Students represent ARIS and Ghana; violations may result in immediate removal from events and disciplinary action on return.
Behaviour: Students must follow the ARIS Behaviour Policy; serious or repeated misconduct may result in probation or disqualification.
Academic Honesty: Plagiarism, unauthorized assistance, or misrepresentation in practice, assessments, or submissions triggers sanctions under the Academic Honesty Policy and may include removal from the program.
Digital Citizenship: Responsible technology use is required in online practice, forums, and collaboration spaces.
Club Fees: If applicable, any local/national registration fees will be communicated with 30 days’ notice.
Materials: Core resources provided; optional extensions (books, apps) are family-funded.
Grounds for Disqualification
Attendance below 90% after probation
Behavioural misconduct (per ARIS policy)
Academic dishonesty (per ARIS policy)
Persistently not meeting Olympiad Exam benchmarks
Voluntary Withdrawal: Submit written notice (student + parent). Re-entry requires Committee approval in a later semester.
