Some are mandatory to review before you click Submit on your application, but all of them will be helpful to know about should you win an award in this grant cycle or next!
Please take a look at the Scoring Rubric before you submit your application. If any of these areas are not directly addressed in your application, go back and ensure that you are clear and gaining the most points! Our reviewers use this rubric to narrow down finalists before discussing who will be funded each cycle!
Download and share with your principal or district department director along with your application. If you are awarded, you will receive an agreement from the Grants Manager that must be signed before you receive your check!
Make sure you review this Evaluation sample so you know the questions you will be asked! The APS Education Foundation must collect demographic data on our grant programs moving forward, so prepare to collect that information during implementation as well.
Don't get lost in this narrative! It's easy to do! This is simply the "What" of your proposal. Take a look at the Best Practices - Activities and Engagement Narrative Example for extra guidance on how to make this narrative more precise and easy to understand.
At the end of your grant period when your online evaluation is due, you will need to attach the Reconciliation Activity Account Report. Once you have spent your grant, ask your bookkeeper to pull this report. NOTE: Your bookkeeper will have created a separate Activity Account for your grant. Your report should like the sample at the bottom of the guide. Feel free to download and share with your bookkeeper and advise them to consult with the experts - Activity Fund Specialists!

Christy Snell of APS EdTech has provided this helpful worksheet to share with your grant team as you consider applying for a makerspace, digital lab or STEAM lab. The Foundation receives multiple proposals for these spaces each year, and our reviewers know how impactful they can be! Make sure you have all district and school resources outlined.
If your proposal includes one or more field trips, preparation is key. Ensure that the trip can fit within the school schedule, including travel time and that you have teachers and chaperones ready and willing to attend. If you receive the grant award, be prepared to reserve buses, pay any trip related fees, secure lunches and send this form as soon as possible. Why? Many times, field trips were not able to be taken because even though they were budgeted for, the grantee did not have enough time to get everything scheduled and approved. Field trips must directly support your Desired Goals, meaning you should be able to use the trip to improve outcomes for students and staff as part of your program design.
