ACADEMIC TASKS
Assist teachers in classes: Record actual length of class time (1.5 or 2 hours per session, including break) at academic rate.
Support in Demo sessions: Record actual length of demo session (including placement test after demo if applicable) at academic rate.
Provide tutoring for struggling students: Record actual length of tutoring session (0.5 or 1 hour per session) at academic rate plus 1 hour at admin rate for preparation.
Run waiting class lessons: Maximum number of waiting classes allowed is 2 lessons in 2 weeks. Record actual length of waiting class academic rate and 0.5 hour at admin rate for preparation. (Content and materials will be supported by LX and TA Sup.)
Lead club activities: Record actual time of the club at the academic rate and 0.5 hour at admin rate for preparation. (Content and materials will be supported by LX and TA Sup depends on the theme of the club).
Invigilating/Conducting tests: Record actual length of class (test) time at academic rate.
Support teachers in parent meetings and end of course ceremonies: For classe that have >=2TAs: 1 TA will act as a translator (with CSO) while the other TA(s) monitor students in the classroom. For classes that have 1TA: the TA will take care of the class and record actual length of class time at academic rate.
ADMINISTRATION TASKS
Pick up/drop off students before and after class time: Record 15 minutes before and after class time at admin rate.
Translate comments (SMS), reports, documents when required: Record the same rate for classes at all centers:
0.5 hour at admin rate for translating teacher’s daily comments for SMS.
1 or 1.5 hours at admin rate for translating end of module reports in LMS.
Other translations will be paid based on the agreement between TA and assignor.
Support placement test sessions Record actual length of PT time (including materials preparation and actual requested PT slot) at admin rate
Attend TA training/meeting/workshops: Record actual length of training and meeting session at admin rate.
Provide other administrative support to LXO and other departments (EC, MKT, …) when required.
BEFORE CLASS
At least 15 minutes before class starts

Be punctual at TA Sup's room
Put on TA's name tag
Take attendance folder and/or TA on duty folder
Note: In case TAs cannot make it on time, they have to inform the TA Supervisor at least 30 minutes before check in time with full reason. If not, you will be given warnings and pay a penalty of 10,000 VND for each time you are late.
Welcome students
Say hello, be friendly and wave at both parents and students (follow the exact procedure & the checkliss below).
Note: This task applies to classes that have >=2 TAs. For classes that have 1 TA, the TA will take care of students arriving in the classroom, others will be picked up by a different TA.
Set up classroom
Bring a water bottle, mouse & keyboard, TA’s register (if applicable) and IWB remote, Smart TV tool to class.
Check if the IWB/Smart TV is working normally => turn on the computer, play suitable videos for students, and wait for the class to start.
Ensure the temperature of the classroom is comfortable for children.
Check if the room has enough stationery (pencils, crayons, glue, scissors,...)
Note: Keep the kids in the classroom or playground (DO NOT let them RUN around or outside the class.)
IN-CLASS
Check attendance: 3 times a day
At the beginning of the lesson:
TA carefully check the attendance in the first 15-20 minutes (make sure to put a tick on the attendance list).
If someone is absent from the class, please inform the names to the CSO.
Note:
Classes with TA (KDG-PMR3): TA in class should remind teachers to check attendance themselves or note on the board or use "Classdojo" to manage the number of kids in class.
Classes with no TA (PMR4-IELTS): TA in charge the checking attendance also have to remind teachers to check the attendance and take note (names on the board or "Classdojo"…).
Reminder:
If TA DO NOT inform about absent students in their class will receive 1 verbal warning.
Teachers now have themselves an attendance list so TA can support teachers by reminding students' names in case teachers don't remember. However, make sure teachers are the ones who tick on their attendance to ddouble-checkwith TA attendance.
After breaktime
TA re-check the attendance carefully right after the students get back from the WC.
Stay in class during break-time (maximum 5 minutes out for water, WC…).
Teachers in Non-TA classes have to be aware of who the TA in charge is.
Note:
Nobody missing: Well done
Someone missing: Make sure who they are and inform other people in the center ASAP (Teachers, TA SUP, CSO,…)
Classes with no TA: TA in charge of checking attendance have to discuss with teachers and help them watch the classes while they’re out (for toilet/water). When they’re back, ask them to take care of the students then check attendance.
At the end of the lesson
Teachers and TA both need to check carefully attendance 1 more time before letting the kids go out.
Classes with TA: Check attendance 1 more time with other TA.
Classes with no TA: Teachers are the one in charge of checking attendance.
TAKING THE KIDS TO THE TOILET:
KDG classes:
1 kid per 1 TA at a time: ask students to line up nicely
Slowly lead the kids to the toilet.
TA must be in the toilet with the students to control some sudden situations that may happen there and help them as well.
When they finish, ask them to their your hands and go straight to class. (TA re-count the number of students).
Make sure the number of kids in = out before leading them back to the class.
Note:
- Female TA can take boys to female toilet but male TA must not take any girl to male toilet.
- If 5 minutes have passed and the kids are still inside, help them.
- With any other special cases: talk with parents to figure out solutions together.
PMR classes (1-3):
Classes with 2 TA: At least 1 TA follows the kids to the toilet and checks them carefully.
Classes with 1 TA: ask other TA or teachers to watch the class while the TA is out supervising the kids in WC.
PMR 4-IELTS:
TA in charge the checking attendance has to remind teachers to double-check carefully after break-time
AFTER CLASS
Return students
TA re-check attendance carefully, then go outside when 5mins left for parents to sign.
TA has to walk with students to the lobby and hand them to their parents.
Ask the CSO to take care of any children (if the parents haven’t picked up after 15 minutes of class.)
ALEX Notification
TA has to push Alex Noti before 11:59 PM. If there is any problem with the teachers, TA has to remind teachers to fix it ASAP (remember to cc your TA Sup and GLXM Jordan).
Clean up the classroom
TA has to clean up water bottle, mouse & keyboard, TA’s register, and IWB remote back to the EFL room.
For the next shift/day TA remembers to check the schedule, if there is a different level class, TA has to move all the chairs/desks so other TAs can have enough time to set up their classroom.
1. Taking leave
1.1 Normal Leave:
One week’s leave or more: At least 10 days notice
Less than 1 week’s leave: At least 7 days notice
One or two days’ leave: At least 3 days notice
Shorter notice can be approved in some urgent cases such as accidents, and funerals.
Urgent leave is not allowed more than once per month.
1.2 Sudden Leave & Sick Leave:
Sudden leave: Please think about students, management in class, and quality of the lesson before you decide to leave.
A TA who has gotten sick during working hours is allowed to get approval from the TA Supervisor to go home for treatment at home.
TAs who have gotten sick and cannot come to work as scheduled, are also allowed to get approval from the TA Supervisor. Must inform TA Supat least 3 hours before class. Any announcement less than 3 hours before class is not approved.
Sudden leave is not allowed more than twice per month.
TA supervisor will be in charge of checking the times that each TA takes sudden leave.
1.3 Resignation:
The notice period is 1 month. The TA Supervisor must be informed in writing. If 1 month notice is not given, the TA will not be paid for any hours worked in the previous pay period, instead of notice.
DURING THE TIME AT APOLLO
Dress Code
Apollo T-Shirt, TA’s name badge.
Trousers and shoes (jeans, shorts, and slippers are unaccepted).
All clothing must be clean and freshly pressed.
Hair must be a ‘natural’ color and ‘well-groomed’. The style must not be shocking or offensive.
Female TAs should tie their hair up.
Nails must be clipped and are not too sharp.
Male TAs must not wear ear hoops.
No visible tattoos.
Using English
TA must speak 100% English to be a good example to maintain an English-speaking environment.
Only in specific cases below TAs can use Vietnamese:
When asked by teachers to support students or act as an interpreter.
Students are fighting and TA needs to stop them. DO speak in a medium voice so both students can hear you. DO NOT shout.
Student is being very naughty and did not stop after the 1st reminder in English. Take that student aside, and speak to him/her in a low and firm voice to stop bad behavior.
Kindergarten 1 or 2 students who do not folthe low instruction given in English by TA. Give the instruction in Vietnamese in low voice to that student.
Be responsible
All TAs share the general responsibilities to take care of all Apollo's students. Not only concentrating on their own students.
4. Working time
If you come to work late more than twice per month, you will get a verbal warning & your payment might be considered to deduct. More than 3 times per month, you will get a written warning & your payment will be deducted.
Whenever you come to work, the TA sup must be informed. Otherwise, you are considered as coming late or absent.
5. Other:
Not allowed to work for any English Centers while working here.
No reading newspapers, watching films, sleeping, or eating.
No chatting with other TAs from other classes.
No using mobile phones (Mobile phones should be in quiet mode).
No leaving the class for more than a few minutes (If you want to go out, please inform the teacher and confirm the approximate time of return).
6. Disciplinary procedure
Verbal warning: When you have one of the below issues:
- Come late 1-2 times per month.
- Give any negative comments to parents without talking with EC, leading to complaints from parents.
- Do not follow the policy for taking leave.
- Say “dirty words” to students.
Written warning: In this case, your payment might be considered to deduct. When you have onethe of below issues:
- When you have 2nd time any issues with a verbal warning
- Come late more than 3 times per month.
- Using a mobile phone any time that you are on duty.
- Not supervising carefully will lead to any injuries for students during the class.
- Feedback about breaking any facilities of the center that the reason is your class.
Dismissal: You will stop working at Apollo and do not receive any certificate or qualifications from Apollo after you left when you have one of the below issues:
- When you have a 2nd time any issues of written warning.
- Any violation of leaking documents/information.
A record of warnings will be kept by the EFL Supervisor.
A warning may be removed from a TA’s record after 6 months with no-repeat violations.
At the end of every level, we will conduct the EOC (End of Course) Test for classes that need to be upgraded. After giving points by teachers, TAs have to translate the comments before sending the results to parents.

Do not depend entirely on GOOGLE TRANSLATE. Please translate it into the language you wish to receive, when you are a customer of a service.
We are now running a new "pick-up/drop-off" process, please kindly check it out.
Before class time
After setting up for class, TAs need to stay in the lobby in order to:
Pick up the students 15 minutes before class (please do not be late).
Say hello and be friendly to both parents and students.
Receive backpacks from parents.
If there is half of the number of the students or 10 minutes have passed, then 1 TA lines up and leads them to go upstairs.
The other TA continues to stay in the lobby and pick up the rest in the last 5 minutes.
After class time
When the class finishes, here are the things TAs need to do:
1 TA goes downstairs (5 minutes earlier) to ask the parents for their signature.
Before leaving, re-check if students have got their exabackpackack (jackets, face masks, books, toys, etc.)
TA mic + gate will stand at the gate and announce the students’ names whose parents have come by the microphone.
Then, TA on the stairs help kids (prioritize kindy) put their shoes on and line up.
Be ready for TA to lead them down and drop off to their parents.
For those who have not been picked up, ensure they stay on the playground and hand them over to the TA on duty/CSO.
Note:
Students are called to drop off by microphone, please pay your attention.
Remind them to always hold the silver staircase railing.
Make sure there is no pushing/ running or shouting on the stairs.
Always lead the kids directly to their parents’ bike/car/hands/seat.
No students under 12 years old use the stairs without being accompanied by TA.
Note:
TA need to be self-aware to look after students in the lobby (1), computers area (2) & playground (3).
If the area (1) & (2) is too crowded, TA can actively move the kids to the area (3) to manage easier.
Prioritize P.U/D.O students than handing over or leaving to get ready/clean up/go home/...

If there are >=2 classes starting at the same shift such as "Primary & Kindy", "Primary & Starter" or "Kindy & Starter":
Pick-up: Let "Primary" go up by themselves first, then "Starter" and the last is "Kindy".
Drop-off: Let "Kindy" line up and go down first, then similar with "Starter" and the final is "Primary".
