Please note that the videos below have been recorded on Mac operating system and some features might look differently in Windows. AlphaPlus uses the Google Workspace (previously GSuite) for nonprofits that includes Google Meet. Google for nonprofits is FREE and can be applied for through Tech Soup Canada. The videos are recorded using loom.

Types of accounts, costs & time restrictions

  • In the past, Google Meet was only available for organizational accounts like Google for Non-profits (free for non-profits), Google for Business (paid) or Google for Education (free for educational institutions).

  • With Covid19, it was made available to regular Gmail users as well.

  • Some features might be slightly different between the types of accounts. For example recording is not available in the free Google account (Gmail) or in Nonprofit account.

  • Anyone with a Google Account can create a video meeting, invite up to 100 participants, and meet for up to 60 minutes per meeting for free.

Profile and account settings

Profile picture, name and other details can't be changed in Google Meet, they are managed through one's Google account. The picture/name change will apply to all Google Apps, like Gmail, Google chat, etc.

Security

  • All data is encrypted in transit by default (not the same as end to end encryption)

  • Meet recordings (if available) are stored in Google Drive and encrypted at rest by default.

Host a meeting

  • To organize/host a Google Meet meeting you need to be signed into your Google account.

  • You can start the meeting by going to Google Apps section (9 dots or squares next to your profile picture in top right corner) and selecting Google Meet, opening a new tab and typing in meet.google.com in the URL/Address section or scheduling it in your calendar.

Join a meeting

  • Participants don't have to be signed in or even have to have a Google account. Anyone can join using the link or code provided.

  • When participants follow a link or type in the code, they request access and the meeting organizer lets them in. They can't join without being admitted.

  • Each Google Meet meeting link includes meeting code in it - it's the last 10 digits of the link: https://meet.google.com/uzdp-pryg-cja

Joining a meeting by phone

  • Google Meet can call your phone or you can dial in if your internet connection is poor or you have audio issues.

  • Only available for Google workspace accounts (not for regular Gmail users). Note that phone charges may apply.

Desktop/laptop view and tools

  • When in Google Meet meeting, some tools are immediately visible, other are under More options in the bottom right corner.

  • Notice that recording is not available here, that's because it is not available for basic Gmail or Nonprofit account.

Phone/Tablet App view

  • Have to install Google Meet App (available for Android and iOS)

  • One can start a new meeting, join meeting or select scheduled meeting to start

***Couldn't record a video from iPad, audio wouldn't record when Google Meet session was started.

Audio/video settings + backgrounds

  • Audio/video settings get checked/adjusted when starting/joining the meeting but if you still have issues, you can go to More options (3 dots in lower right corner) and click on Settings

  • Background is also available under More options; you can simply blur your background or choose from a collection of pictures provided.

Recordings

Not available for Gmail or Nonprofit accounts, but available for: G Suite for Education, G Suite Enterprise for Education, Essentials, Business Standard, Business Plus, Enterprise Essentials, Enterprise Standard, Enterprise Plus editions. Learn more

Participants, meeting roles and participant tools

  • The person starting the meeting is the organizer/host

  • Everyone joining in has the same tools

  • Organizer/host can remove participants

  • Raise a hand option available for everyone including host (can be lowered by the person raising the hand or the organizer/host)

Chat

  • Chat button top right section

  • You chat with everyone, no option to have a private chat in the meeting

  • Type the message and hit enter or click on the green arrow to send it to everyone.

Screen sharing/presenting

  • Called Present now

  • Choose what you want to share (screen, window or tab) and click share

  • Note that since you are using Google Meet in a browser, the tab where the meeting is happening has a red dot. Do not type a link in the URL/address section or click on a bookmark while you are in this tab. This action will override your meeting link and consequently disconnect you from the meeting. Instead, open a new tab and then type the URL or open a bookmarked page there.

Breakout rooms

  • New feature!

  • Even though it shows for all participants in Activities section, only meeting organizer/host can start

  • Helps split participants into smaller groups for activities and discussions

  • Timer included

  • Host/organizer can assign manually or shuffle

  • Participants have to click on Join button to join the breakout room

  • They leave the main room (as if they went into another meeting)

  • Host/organizer can stay in the main window or join/jump between the breakout rooms too

Whiteboard

  • Access via more (3 dots in the lower right corner)

  • Launches Google's Jamboard

  • Allows host and participants (if allowed) to write, draw, add notes and pictures.

Annotations

Not available.

Remote control access

Not available.

Polls and Q&A

  • Polls and Q&A are available under Activities in top right corner.

  • Polls have to be created while in the meeting.

  • Q&A is a great tool to have participants type up the questions while someone is presenting.

  • Questions can be marked as answered.

  • Questions can upvoted so participants can help decide which ones to answer first.

  • Note: After the meeting ends, Google will send an email to the organizer with poll and question information organized into spreadsheets.

Closed Captioning (CC)

  • Click on Turn on Captions and the system will type out what you the person is saying
