Request these fields from each supplier: crop origin and season; bulb size range and grading tolerance; curing and visible-defect criteria; bag type and net weight; total net weight and number of bags; loading port and destination port; expected loading window; Incoterm and named place; currency and quotation validity; freight and insurance inclusions; inspection plan; document set and payment terms.
Compare the same grade, size, packing, quantity, shipment window and destination. A cheaper bag price may represent a different net weight or quality standard.
Build a worksheet with one column per offer. Record the quoted goods price, freight, insurance, destination handling, customs-related charges and inland delivery separately. Calculate an estimated cost per net kilogram from the total cost and confirmed net cargo weight. Mark each amount as quoted, estimated or excluded. For an FOB offer, ask your freight forwarder for the missing transport costs. For a CIF offer, ask what remains payable after arrival. Do not assume an old freight rate or container load applies to a new shipment.
Before confirmation, agree how the onions will be inspected, what constitutes an unacceptable bulb, how bag weight is checked, and what dated loading evidence will be provided. Confirm the container ventilation or temperature approach with the handling parties for the crop, packing and route.
