The BTF Conference is just around the corner, and we can’t wait to welcome you! To help you prepare, we’ve put together some key information about the schedule, logistics, and important guidelines. Please take a moment to read through the details below to ensure a smooth and enjoyable experience. This information applies to all attendees, including visiting schools (teachers, please feel free to forward this message to your traveling students), guest presenters/workshop hosts, and individual attendees. Schedule
The schedule for the BTF Conference will include many interesting elements, such as regular check-ins during Synergy Sets with your schools/groups, various casual networking activities, choice activities like podcasting, sound immersion, and the SIMA Academy Movie Night, and last but definitely not least the award ceremony of the Global Docathon student impact film competition! Attendance Details Form
Please be sure that you have fully and accurately filled out your personalised attendance form previously sent to you, by March 11th; but the earlier, the better. You should have received your personalised copy. If you did not receive one or cannot find it, please contact us immediately.
Food
The busy changemakers will not go hungry during the exciting conference! AISB’s school café will be open upon arrival on Thursday, where various snacks can be purchased. Then, snacks will be provided on Thursday in mid-afternoon, both mid-morning and mid-afternoon on Friday, and in the mid-morning on Saturday. Dinner will also be provided on Thursday night.
Available café times for purchase: up until 4 pm on Thursday the 20th and Friday the 21st.
The cafe is not available on Saturday the 22nd, so be sure to purchase any additional snacks you may need for Saturday, on Friday. We end on Saturday at 11:30 AM and depart school around noon.
If you booked at our partner hotel, Aquincum, then they will provide breakfast in the morning starting at 6:30AM. If you are staying elsewhere, please be sure to know what is offered in terms of included meals and arrange accordingly.
Transport
We have arranged transport to support our guests upon arrival, during the conference, and upon departure as best as we can. Adults will be notified personally regarding the travel schedule pertaining to them and should pass information along to any students they are supervising. The travel schedule will include arrival and departure transport information, as well as transport information for during the conference.
Sched
The BTF Conference will be using an app called Sched to register for workshops as well as generate a live conference schedule for individuals to view. The Sched app details for workshop signups will be released next week, so please keep an eye out and have students sign up as soon as possible. Anyone hosting a workshop should NOT register for any sessions during their own workshop slot, as they need to be available to host, and signing up would take up a seat in their own session or in other sessions. Please pass this information along to any students hosting workshops. This does not pertain to students hosting Fireside Chats, as they will be presenting during a whole-conference assembly slot. Check the schedule linked above for the workshop and assembly times. We are developing a refined schedule and will release actual times for presenters through the app or via email.
GDPR
We will be documenting and capturing various aspects of the conference in accordance with GDPR regulations. This may include photos, videos, and other media. By attending, you consent to this unless you explicitly state otherwise. If you have any concerns or wish to opt out, please notify us in advance so we can accommodate your request.
Phone Prohibition
Under Hungarian law, students are not allowed to use phones during the conference. We ask that students bring alternative devices such as laptops or iPads, as WiFi access will be available for them, and some workshops might require their use. To ensure security, we will provide lock boxes where teachers can safely store their students' phones on campus on conference days should students bring them on campus. This law does not apply to adults.
Security
For security purposes, all adults entering the campus must review our safeguarding procedures and watch the safeguarding video, and they are required to bring a valid photo ID (national ID card or passport) for verification if needed. Students not accompanied by a supervising adult while entering campus will also need to bring valid photo ID.

AISB is committed to the safety and well-being of all in its community. We support the rights of the child and will act without hesitation to protect children in our care. We ask that all participants watch this short Safeguarding Video and review our Safeguarding Webpage before coming to campus.
Please bring a photo ID to school when you arrive. The guards will be expecting you and please ask them to escort you to the Building B entrance.
“Budapest Binder” Welcome Pack
In the coming week, all participants will receive a Welcome Pack containing essential information about the BTF Conference, such as a map of AISB and things to do in Budapest, a guide to public transport, information for presenters, a detailed schedule, and more!
