ALWAYS call via FUB or LOG A CALL (green, not yellow) AND ALWAYS add a note if you leave a voicemail or have a conversation
If lead asks no call/text/email add “unsubscribe” tag for no email
Always confirm the best method of communication
Disposition
Always tag “buyer” or “seller” so that the automation triggers correctly.
Make sure all contact info is in FUB – phone, email, address, source and is correct
Stage – ALWAYS change the stage to the appropriate stage after you speak to the lead (see above) – use dropdown list
Setting Following Up
Add a follow up task or use a smartlist if there’s no specific appointment or time to follow up or you don’t reach the lead.
Close out emails and texts once it’s taken care of in the inbox. Make is a goal to have less than 5 in the inbox.
What to say and do, including, but not limited to:
Motivation
Phone Number: Is this the best phone number?
Email address: Is the address correct and/or best email?
Home Address: Do they have an address that they’ll give you?
Background: Add important information about the LEAD that you want to see first when you engage with them again in the future
Stage: Update the STAGE immediately after you have spoken with the lead
Source: Make sure the source is accurate.
Working with a Lender?
Their Search: Features, area, budget, timeline - what features are they looking for in a house
Family - kids, grandkids, etc?
Hobbies - anything that will help us send emails that will resonate with them (doesn’t have to be real estate related)
Tags: Add relevant tags to identify lead (buyer, seller, what do they like, kids, pets, etc)
**Ylopo Stars Link (listing alerts): All leads in FUB are required to be on a property search in Ylopo. Is there a link? Is the search criteria accurate? Do you have a home address that you can create a seller alert for? Update / create any of these in the Stars link
Send a ‘Thank You’ text - Thank them for taking the time to talk with you, include your FUB v-card with contact info, and/or quick video saying thank you
CHANGE STAGE - Change them to A-Hot, B-Warm, C-Cool, or D-Cold ⚠️ Any lead that you’ve spoken with should NOT stay in lead or prospect stage
Write Summary of convo in BACKGROUND (easier to find in future)
ADD TAGS- Can never add too many. Here are the basic tags that should be added: Buyer / Seller / Property Type / Area / Family / Hobbies / etc
Update Ylopo Stars Search Parameters - Click on their Ylopo Stars search link and update the details of their search alerts - update the search area, price min/max, bedrooms. ⚠️ Tip: Make sure the search Subject/Title is not generic and CONTAINS YOUR CONTACT NUMBER. Example: Your Home Value Update from Jasmine, 555-5555. This will be the email subject and will keep you top-of-mind
Set Up Seller Alerts via Stars Link- If they provided you with their home address, create a seller alert update. ⚠️ Make sure the search Subject/Title is not generic and CONTAINS YOUR CONTACT NUMBER. Example: Your Home Value Update from Ian Dixon, 555-5555. If they didn’t provide you with their address, but you know the town they live in, set up an alert for that zip code, and remember to include your phone number in the subject.
Set Yourself a Follow-Up task (if you want to follow up sooner than the ABCD default frequencies and smartlists)
