Just a few quick things to consider as you plan event setup and put together your day-of checklist:
Y Depending on the location, the first step of setup might be a quick vacuuming or other cleaning.
Y Hang lights or other ceiling décor first, then move to things that go on the walls. If you're moving ladders around, it is easiest to do that before tables and chairs are set up.
Y Set up furniture, which may include tables, chairs, side tables, podium, and large décor items like backdrops.
Y Put out linens, chair covers, and tablecloths.
Y Make sure technology is prepared, tested, and working properly.
Y Next, focus on the pictures, welcome table information, centerpieces and other table décor. If possible, place fresh flowers no more than two hours before the event begins (though they can be placed earlier if they are in water).
Y Put your boxes and containers in a designated place where they'll be easy to access for take-down.
Y Food goes out last. For food safety, hot foods shouldn't be out for more than an hour. You can extend that time by using ice packs under the cold foods or chafing dishes to keep hot foods warm. Even with temperature control, plan to refresh food regularly for food safety. If you are working with a caterer, confirm their food safety procedures ahead of time.
Depending on the size of your event, plan on finding some help. Provide water or snacks for those assisting with setup.
Enjoy a final walk-through (see day of checklist). Now - after setup is complete and before guests arrive - is a great time to take a few pictures.
