SyncOps Ltd ("we," "our," or "us") is a software development company. This policy explains how we handle personal data across our website, our software products, and our cloud infrastructure.
Controller: We act as a Controller for the data of our website visitors, direct customers, and marketing leads.
Processor: When you use our software to store or process your own customers' data in our cloud environment, you are the Controller, and SyncOps Ltd is the Processor. We handle that data strictly according to your instructions and our Data Processing Agreement (DPA).
In addition to standard contact information, our software may collect:
To improve our software, we collect "Telemetry Data." This includes:
Feature usage frequency (which buttons are clicked).
System performance metrics (load times, CPU/RAM usage).
Legal Basis: Legitimate Interests (improving software performance).
Opt-out: Users can generally disable non-essential telemetry in the "Settings" menu of our application.
If the software encounters an error, a "Crash Report" may be sent to us.
Data included: Device type, OS version, software version, and the stack trace of the error.
Privacy Guard: We strive to ensure crash reports do not contain "Sensitive Personal Data" (PII) from your database.
If you use our cloud-hosted versions:
Provider: We use Google Cloud with servers located in the United Kingdom.
Encryption: Data is encrypted at rest (AES-256) and in transit (TLS 1.2+).
We prioritize keeping data within the UK. If we use third-party tools (like US-based CRM or email providers), we ensure "Adequacy" or use Standard Contractual Clauses (SCCs) and the UK Addendum to ensure your data remains protected to UK standards.
Account Data: Kept for the duration of your contract + 6 years (for UK tax and legal purposes).
Telemetry Data: Usually anonymized or deleted after 12–24 months.
Cloud Data: Deleted within 30 days of contract termination.
You have the right to access, correct, or delete your data. Under the 2026 UK regulatory updates:
Right to Complain: If you raise a data protection concern, we must acknowledge it within 30 days and provide a full response without undue delay.
Automated Decision-Making: We do not use "black box" AI to make legal or significant decisions about you without human oversight.
