QUALITY ASSURANCE DIVISION VISITS SKSU KALAMANSIG CAMPUS

 

       The Quality Assurance Division with its Accreditation Unit, ARTA Unit, DCO Unit, 7s Unit and with the Instruction Division joined together as they visited SKSU Kalamansig Campus last April 19-20, 2023. The activity was started with an Opening Program whom each Unit Chair was given the chance to provide an orientation and updates pertaining to their major and important undertakings required and expected from their respective units.

During the visit, the Accreditation Unit of the QA Division evaluated the initial AACCUP accreditation preparation of the said campus, particularly on the document evidences gathered for the areas required and to include the compliance reports of the four (4) degree programs such as BS Fisheries, BS in Information Technology, Bachelor of Elementary Education and Bachelor of Secondary Education, which are all scheduled for accreditation this year.  Ms. Crizjale V. Ahmad, the University Accreditation Chair, ensured that all areas for accreditation are properly assigned to the identified experts who are currently members of the University Internal Assessment Body (UIAB). The assigned areas for the UIAB members are the following:

Dr. Rodelyn M. Dalayap           -Areas 5 and 6

Engr. Eulogio L. Apellido, Jr     -Areas 8 and 9

       The exit conference was conducted and all the counterparts were informed of the observations of the team. Each member of the UIAB provided them with their suggestions and recommendations that would somehow helped advance their preparations.

          The ARTA Unit of the QA Division with Ms. Jennine Lezzette G. Bayron, the Campus ARTA Focal person of Kalamansig, discussed about the RA 11032: AN ACT PROMOTING EASE OF DOING BUSINESS AND EFFICIENT DELIVERY OF GOVERNMENT SERVICES. She stressed out the importance of the 3-7-20 in the delivery of the different frontline services. Three (3) days for the simple transactions, seven (7) days for complex transactions and twenty (20) days for the highly technical transactions.

The DCO Unit of the QA Division takes charge of the release of uncontrolled copies of documented information. During the visit at Kalamansig Campus, Ms. Dayanara P. Besa, the DCO University Chairperson, elaborated the process on creating and updating of documented information. She further stressed how to enroll and update new processes.

The 7s Unit of QA Division with Ms. Mazie Joyce P. Dagon as the chair on the 7s Unit, discussed the basic concepts of good housekeeping and how to sustain the implementation of it in the workplace. This is to somehow increase the awareness of the personnel especially for those who are new in the system.

The Instruction Division joined with the QA team. Ms. Ellen Consomo as chair of the Curriculum Review and Development and Dr. Roselyn Calixtro as the Chair for Evaluation and Monitoring for Instruction discussed the importance in preparing the Individual Performance and Commitment Review (IPCR). They had conducted random checking to some of the IPCR of the faculty members compiled in the office of the Campus Director. This is also to evaluate how the faculty prepared an IPCR.

SKSU QA Team Visits Lutayan, Bagumbayan, Tacurong, ACCESS, Isulan and Palimbang Campuses


The Quality Assurance Division Team headed by Dr. Elmer C. Buenavides continued their campus visitation activity after the first (1st)  visit in Kalamansig Campus last April 19-20, 2023.  This activity was pursued by the Division to ensure that the new team can establish good rapport to all its counterparts and for them to get closer to their colleagues. Further, the different units of the Division such ARTA Unit, DCO Unit, AACCUP Accreditation Unit, 7s for Good Housekeeping Unit and even the Instruction Division joined the team to provide all concerned personnel the necessary information and updates.

On May 3, 2023, the second (2nd) in the list being visited by the QA team was Lutayan Campus. The program was started at 10:00am with a prayer followed by the welcome remarks delivered by their Campus Director Dr. Romualdo Ortuoste. After which, the QA Team was introduced by the QA Director and provided them inputs as to the thrusts of the University and the Division. Ms Cizjale V. Ahmad, the University Accreditation Chairperson, discussed the important concerns related to AACCUP accreditation especially the new guidelines. She also informed them of the status of the programs to be accredited in their campus and what are those recommendations of the accreditors that need to comply. Ms. Teffany D. Gonzaga, the University ARTA Focal Chairperson elaborated also some salient features stipulated in the The Ease of Doing Business Law or the RA 11032. She further stressed the importance of the “3-7-20” which refers to the prescribed processing time of simple transactions (3 days), complex transactions (7 days), and highly technical transactions (20 days). Dr. Dayanara P. Besa who is currently an in-charge on Maintained Documented Information being designated as the University Document Control Officer or DCO. In her presentation she emphasized how important are those processes to be kept. She clearly expounded the process on how to create and update the processes. Since the Instruction Division was present then with Dr. Roselyn Calixtro as the In-charge of the ID on the Monitoring and Evaluation together with Ms. Ellen Consomo as the in-charge on University Curriculum Review, the discussion was turned out more informative. They shared identified MOVs in the preparation of the Individual Performance Commitment Review (IPCR). The information that they had disseminated would serve as reference in the preparation of the IPCR with the inputs which are all reliable and proper.

In the afternoon session, the in-charge on ARTA Unit, DCO Unit, 7s for Good Housekeeping Unit and the Instruction Division toured around the campus and visited some offices concerned to check needed documents and other data and information that could be considered as MOVs. But the AACCUP Accreditation Unit stayed in the Campus Library to scrutinize the Documents of the program to be submitted for accreditation.

The photo opportunity took place right in front of the campus signage. The visit was worth remembering in the part of the QA Team. Grateful of the accommodation and active participation of everybody. Kudos to Lutayan Campus Administrators, Faculty, Staff and Students.

On May 5, 2023, Bagumbayan Campus was the third (3rd) Campus visited by the QA Team together with the Instruction Division. The team felt very comfortable with the warm welcome showed by the Personnel headed by their Campus Director, Dr. Paul Ryan L. Oñas. The program was held at their two (2) storey library with complete amenities where the participants and the QA team can conveniently conduct the said activity.

There were excellent exchange of point of views and sharing of ideas among the participants and the team during the discussions. There were no queries on accreditation concerns and even in the ARTA, Maintained Documented Information as well as in the 7s, considering that according to them they are already accustomed to it and became their regular practice. But in the part of the Instruction particularly on the IPCR, many of them asked some clarifications but they ensure everybody was clarified. The team went home early because there were no documents for accreditation being prepared and the fact that their programs are still to be scheduled on 2025 but they were informed to be ready on the second round of campus visitation. Everyone was happy and grateful especially the abundant foods prepared for the said program.

The QA team together with the Instruction Division visited Tacurong Campus on May 23, 2023 and it was the fourth (4th) in the list. The activity was held in their Session Hall and it was participated by more or less thirty (30) participants who are mostly the designated faculty and the staff. Dr. Elvie V. Diaz, the Campus Director delivered her welcome remarks during the opening program. She stressed out the significance of the works of the Quality Assurance and appreciated the presence of the QA team and believed that the visit would greatly affect positively the preparation of the campus particularly in the Accreditation and ISO.

Dr. Elmer C. Buenavides, the QA Director, set the tone of the activity by elaborating the thrusts of the Division anchored to the thrusts of the University.

Ms. Crizjale V. Ahmad reminded the group of their programs to be submitted for accreditation this year. With the help of the University Internal Assessment Body (UIAB) some of their initial documents prepared were checked and scrutinized. There were suggestions and recommendations given to them for the improvement of the documents that will be checked again on the second round of campus visitation.

Ms .Tefanny D. Gonzaga excellently answered all queries of the participants pertaining to The Ease of Doing Business Law or RA 11032, particularly on the 3-7-20. Other issues were answered by the QA Director.  

Dr. Dayanara P. Besa continued to share the process on creating and updating of processes and how those documents be properly kept. She also got the chance to check the Maintained Documented Information with the Document Control Officer of the campus.

Ms. Mazie Joyce P. Dagon reminded everyone of the 7s or Good House Keeping. She made sure that everybody would be updated since there will be series of red tagging to be scheduled later on. It was emphasized to make this as a habit.

Ms. Ellen Consomo and Dr. Roselyn Calixtro from the Instruction Division expounded well how to prepare the IPCR and what are those MOVs to be considered to ensure that the data in the IPCR are legitimate.

The experience was different since most of the attendees were very participative and many questions were asked and being answered at the same time by the team. The management was so generous manifested by the sumptuous foods that were served for everybody.

The SKSU Isulan campus was the fifth (5th) campus in the list of the QA Division to visit. Last May 24, 2023 lucky enough that the visit was pursued despite of a busy schedule. The said activity was attended by the designated faculty together with the staff on duty. Dr. Mary Lynn G. Magbanua, a campus director, delivered her welcome remarks during the opening program. She expressed her gratitude to the team and to all the participants who took the time to attend and listen to the presentations. Dr. Elmer C. Buenavides shared to them the thrusts of the Division and appealed to everyone to work together to achieve quality and excellence.  Ms. Crizjale V. Ahmad answered some queries related to accreditation and she gave emphasis on the important things to prepare prior to the actual conduct of accreditation.  Ms. Tefanny D. Gonzaga reiterated the importance of the RA 11032 for the Ease of Doing Business. Dr. Dayanara P. Besa elaborated the process on how to create and update the processes. Ms. Mazie Joyce P. Dagon, again reminded everyone of the 7s Good House Keeping practice and informed them of the schedule for the red tagging. The Instruction Division with Maam Ellen Consomo and Dr. Roselyn Calixtro made sure that all personnel of Isulan Campus understood the correct way on how to prepare the IPCR and what those appropriate Means of Verifications or MOVs that are to be included. The open forum was deliberated properly and all questions were entertained and being answered clearly. It was a productive day for everybody since each one went home filled with essential information

The sixth (6th) campus visited by the QA Team was the ACCESS Campus last May 29, 2023. It was held at QMS Conference Room and the designated faculty and staff on duty joined the program. The Campus Director, Dr. Ernie C. Cerado stressed in his welcome remarks that the campus visitation of the QA is essential in order to remind everyone to constantly work in the pursuit of quality and excellence. He further stressed that accreditation, ISO, PQA and the like as much as possible be treated as a usual in the day-to-day activity. The QA Director, Dr. Elmer C. Buenavides presented the thrusts of the Division anchored with that of the University. He showed those activities concerned by the QA and humbly asked everyone to work together to achieve the best for the University. Ms. Crizjale V. Ahmad was tasked to give updates on accreditation. She shared also the activities pertaining to accreditation and discussed to them the recommendations of the accreditors of some of their programs in the previous survey visit and identified what are the possible strategies to solve those issues and concerns. Ms. Teffanny D. Gonzaga emphasized the 3-7-20 stipulated in the RA 11032. She expounded well some of the salient features of the law to remind everyone of their responsibilities. Dr. Dayanara P. Besa made sure that everyone understood the process in creating and updating of the different processes. She also informed the group that they can download all enrolled processes in the official website of the University. Ms. Mazie Joyce P. Dagon showed to the participants the previous results of the red tagging. There were being complied but some remain untouched subject to the next budget allocation. They were also reminded of the concept of the 7s and informed them of the schedules for the red tagging. The Instruction Division took a long time in the discussions because many of the participants are so familiar with the IPCR. Ms. Ellen Consomo and Dr. Roselyn Calixtro presented the requirements and MOVs needed in the preparation of the IPCR.

The program was orderly conducted and all queries raised were answered substantially. Everyone went home with enough information and grateful for the foods prepared by the management.

The seventh (7th) and the last campus visited by the QA team was the Palimbang Campus on June 5-6, 2023. The activity was held in their Campus Library and participated by the designated faculty and staff on duty. Dr. Allan Jay S. Cajandig, the Campus Director welcomed the team. He challenged everyone to work as one for a better campus. Ms. Crizjale V. Ahmad elaborated clearly the important concerns for accreditation and reminded them of the recommendations of their programs during the previous survey visit. Mr. Jonathan Roque, the campus ARTA focal person took the assignment of Ms. Gonzaga. He discussed the significance of the 3-7-20 and other salient features of the RA 11032. He also informed everyone how compliant the Palimbang Campus is when it comes to the implementation of the ARTA. Dr. Dayanara Besa, shared again the process on how to create and update the processes. She also explained the version of ISO 21001:2018 that we are currently preparing. Ms. Fahmiya D. Kirab, the campus in-charge on 7s, discussed the concept of the 5s+2 or the 7s. She showed some of their outputs in the implementation of the Good House Keeping. In the Instruction Division, Dr. Roselyn Calixtro, expounded the requirements needed in the preparation of the IPCR. She showed sample Means of Verifications or MOVs to help them understand and to identify what are other documents to be considered.

The QA team stayed overnight in the Municipality of Palimbang  since it took five (5) hours long drive back to the main campus in Tacurong. Five (5) of them together with the driver were accommodated in the Green Palace near the Municipal Hall. Everyone went home with such great experience, aside from the nice place the team was served with delicious foods.
