Meeting Minutes

The following is a schedule template for our meetings. Note, in general, the meeting will follow the outline below but this may vary slightly from meeting to meeting.

Prior to 12:10pm, the Sergeant-at-Arms will announce that the meeting will be starting in x minutes.

At 12:10pm, Call to order by the Sergeant-at-Arm. The Sergeant-at-Arm's role is to set the stage for the meecting and to introduce the Chairman of the meeting.

At 12:11pm, the Chairman's Welcome. The Chairman is responsible for providing the opening comments of the meeting which usually centralizes around the theme set for the meeting. The Chairman will also take this time to welcome the guests. Once the guests have had a chance to introduce themselves, the chairman will continue by introducing the grammarian for the meeting.

At 12:13pm, Grammarian will describe their role during the meeting (filler words, looking for eloquent use of the language, looking for areas of language use improvements). The Grammarian will also introduce the word of the day along with its definition. Everyone in the meeting is encouraged to use the new word.

At 12:14pm, the Chairman then introduces the Timer and this person will then explain the role in general terms, indicating that in a structured meeting time frames to be observed are indicated on the Agenda for all function. For the main functions like presenting a speech, responding to a Table Topics question and all the evaluations, the Timer will indicte the allowed time with gree, yellow and red cards.
