August 20. 2013 Meeting Minutes

2014 Roles/Responsibilities
Hari will serve as President and Jim as Vice President for 2014. The other roles remain unchanged:

Harry - Webmaster
Judy - Social Events
Norm - Treasurer
Mary Ann – Database, Volunteering

Treasurer Report – Hari for Norm
The current account balance is $1767.19.
Retiree Database and Membership Registration Report – Mary Ann
Currently there are 877 registrations in the data base. Changes this year to date: 32 new registrations, 9 deletions, 10 emails added to existing registrations, and 42 email changes.
Website Report - Jim for Harry
Visits in January, February, and March were 466, 438, and 354. April was the same as December at 311 and the visits stayed about the same through July. The pattern continues with visits increasing when we send a communication and have activities coming up and level off at about 310 a month otherwise.
Seminars Report - Susan and Ron
The Tax Seminar presented by Doug House and assisted by Paul Houser on March 5 had 30 attendees. It was well received with an average rating of 4.7 out of 5.
The Annual Financial Seminar is planned for Tuesday, October 15. The presenter will be Eric Logphee who is a financial consultant with Raymond James and also teaches financial classes for retirees at USF as part of their Outreach Program.
The Medcial Benefit Seminars are planned for Novemer 12 and 13 with the same format as lasst year.
A security seminar presented by a representative from the Tampa Police Force with be planned for next Spring.
Volunteering Report - Mary Ann
Nothing to report. We will keep the category open for possible future opportunities for retirees.
Golf Outings Report – Dianne and Donna
The Spring Outing was held Monday, May 6 at Westchase Country Club. The next outing is planned for the Renaissance Golf Club in Sun City on Monday, May 5.
Day at the Races Report - Judy
The event was held Saturday, April 13 at Tampa Bay Downs. There was a good turnout with 80 paid and 78 attendees.
10 Year Anniversary Picnic Report - Judy
The picnic celebrating the 10th anniversary of the Retiree Club will be held at Philippee Park in Safety Harbor Saturday, October 12 rain or shine. Shelter 5 is reserved. There is a 100 person minimum with 30 day cancellation notice to the caterer, Port-A-Pit. Judy needs to give the number to the caterer a week before the picnic. Judy will purchase the drinks and cookies separately. Judy, Dianne, Susan, and MaryAnn will fill their large coolers with ice for the drinks. Judy, Dianne, and Donna will bring tables for registration and check in. Donna, Ron, and Susan will assist with registration. The charge from the caterer is $12 per person for the main meal and $9 for veggie meals. The total cost should be between $15 and $16 per person with drinks, dessert, ice, and park fee. The Retiree Club will subsidize the cost so the price of attendance will be $12 a person. Hari and Judy will visit the park to check out the site, parking and activites.
IBM Club – Donna
The “Beyond Chips” cookbook is on sale for $12. The regular price is $20. It's hoped to sell the remainder of the inventory by year end. The new Entertainment coupon book is now available for $25. The cost previously was $30. Donna continues to arrange for discounted tickets for events at the Straz Center. Tickets for plays are normaally about $15 less than the retail price.
Mailing
The mass email will be sent as soon as the flyer, registration form and directions for the picnic are posted on the website. A “hold the date” will be included for the Financial Seminar 10/15 and Medical Benefits Seminars 11/12 &13. A test mailing will be sent to Jim, Hari and Judy for review before initiating the mass mailing. Jim will forward a copy of the mailing seperately to Judy so she can check whether the mass mailing is going to her spam file. The email will invite members to invite friends and forward the email to those that might be interested in socializing with them and other retirees.
Another mass email will be sent September 15 or 16 to include materials for the Financial and Medical Benefits Seminars and a “hold the date” for the Golf Outing next May.
