Staff Attendance at Conferences, Workshops and Professional Meetings

The Board delegates to the Superintendent the power to authorize the attendance of any District employee or officer, except himself and the Board, at conferences, workshops or professional meetings (hereinafter “conferences”). The Superintendent or designee shall determine when such attendance is in the best interest of the District and, therefore, eligible for reimbursement of expenses. Funds for staff participation are budgeted annually and authorization must be within budgetary appropriation. The attendance of the Superintendent at conferences will be covered by the employment agreement.


In the spirit of continuous professional growth, employees who receive approval to attend conferences are expected to attend the workshops, bring back materials, and share their learning with colleagues, as directed by the Building Principal.


All requests for conference attendance must be made in advance and comply with District procedures. The approval of the Superintendent, or his/her designee, will include a maximum expense limit for reimbursement. Consideration should be given to the cost of substitutes for professional staff. Only reasonable, necessary, and actual expenses accompanied by itemized receipts and other documentation may be reimbursed in accordance with Policy 6830 – Expense Reimbursement and contractual limitations. No claim will be audited, allowed or paid unless the Superintendent or his/her designee has signed an authorizing request form.


Upon receipt of approval by the Superintendent or his/her designee, the employee should register for the conference.


Violation of this Policy may result in the employee being ineligible for reimbursement of expenses and may result in disciplinary action.
