Work Notes (hereinafter referred to as "we," "us," or "this App") prioritizes the privacy and data security of its users (hereinafter referred to as "you"). This Privacy Agreement clearly explains how we collect, use, store, and protect the personal information generated when you use the Work Notes App (hereinafter referred to as the "App"), as well as your rights to control your personal information. Please read and understand this Agreement carefully before using this App. By starting to use this App, you consent to our processing of your personal information in accordance with this Agreement.
I. Types of Information We Collect and Use
We only collect information necessary to implement the App's core functions (workplace record keeping, data organization, and collaboration synchronization). We do not collect irrelevant personal information, as follows:
1.1 Information You Provide
Account Information: When you register and log in to this App, you will be required to provide your mobile phone number/email address and your specified password (or basic account information synchronized when authorizing login through a third-party account (such as a Google Account or Apple ID)). This information is used to verify your identity, ensure account security, and enable multi-device synchronization. Work Record Information: Content you actively create when using the app's record-keeping features, including but not limited to meeting minutes, to-do lists, project materials, quick notes, inserted files (PDF/Word/Excel), screenshots, voice notes, etc. This information is the core data of your use of the app. We use it only to provide you with record storage, organization, retrieval, and collaborative sharing services. We do not analyze its content or use it for any other non-essential purposes.
Collaboration-Related Information: When using the team sharing feature, you may need to provide colleagues' contact information (such as email address/mobile phone number) to invite collaboration or set permissions (edit/read-only/comment) for shared notes. We use this information only for sending collaboration invitations and permission management and not for any other commercial purposes.
1.2 Information We Automatically Collect
Device and Usage Information: To ensure the proper operation of the app and optimize the user experience, we automatically collect your basic device information (such as device model, operating system version, and unique device identifier (used only for device identification and synchronization adaptation, not associated with personal information)) and app usage logs (such as frequency of function usage, operation history, and error logs). This information is anonymized and used only for troubleshooting and improving features (such as optimizing note sync speed and fixing search bugs). It is not used to identify you personally.
Activity Identification Information (if necessary): If you enable features like "Voice-to-Text" and "Multi-Device Sync," we may temporarily access basic device sensor data (such as microphone permissions for voice recording and network status for determining synchronization timing). However, this access is only temporary while you're using the feature and ceases after the feature ends. We do not store the raw sensor data.
Location Information (Optional): This app does not collect location information by default. Location information is only collected with your permission if you enable the "Location Tagging" feature (such as adding a location note to an outdoor work session). This information is stored only in your notes for your personal record keeping and is not stored separately or used for location tracking.
II. Information Usage Rules
We strictly adhere to the "minimum necessary" principle in the use of your personal information. All information is used for the core functions of this app, specifically in the following scenarios:
1. Providing Core Services: Using your account information for login and multi-device synchronization; Using your work history information for storage, organization, retrieval, and editing; Using collaboration-related information for team sharing and permission management.
2. Optimizing the Product Experience: Using device and usage information to analyze feature usage, fix bugs, optimize interface interactions (such as adjusting template layouts and improving search speeds), and ensure stable app operation.
3. Ensuring Data Security: Using device information to identify unusual login behavior (such as logins from unfamiliar devices), we provide timely security alerts to protect your account and work history from unauthorized access.
4. Compliance and Legal Requirements: Where required by laws and regulations, for investigation and evidence collection by judicial authorities, or where reasonably necessary, we may use or disclose your information in accordance with legal procedures to fulfill our legal obligations and protect the legal rights and interests of you or others.
Special Note: We will not sell or rent your personal information to any third party; we will not use your work history for business analysis, advertising, or other purposes unrelated to the core functionality of this app; and we will not share your personal information with third parties without your explicit authorization (except as otherwise required by laws and regulations).
III. Information Storage and Protection
3.1 Storage Method and Duration
Storage Location: Your account information and work history will be stored on our encrypted cloud servers (or locally on your device, depending on your settings). These cloud servers are deployed in data centers that meet data security standards to ensure a secure data storage environment.
-Storage Duration: Your account information will be stored continuously for the duration of your account; your work history will be stored based on your preferences (local storage will be deleted upon device operation; cloud storage will be completely deleted within [30 days] of your active deletion or account deregistration). Anonymized data, including device and usage information, will be automatically cleaned up within [12 months] of collection. If needed for troubleshooting, it will be deleted immediately after the issue is resolved.
3.2 Security Measures
We implement multi-layered technical and management measures to ensure the security of your information:
-Data Encryption: Your account password is stored using an irreversible encryption algorithm. Work records are encrypted using the SSL/TLS protocol during transmission, and AES-256 encryption is used for cloud storage to prevent unauthorized access or tampering.
-Access Control: We implement strict access control for internal data, authorizing only personnel in necessary positions to access relevant information for the purpose of performing their duties. All access is logged and regularly audited.
Security Monitoring and Emergency Response: We have deployed a real-time security monitoring system to promptly detect and intercept risks such as abnormal access and data leaks. If an unexpected data security incident occurs, we will promptly notify you in accordance with legal and regulatory requirements and take remedial measures to mitigate the impact.
IV. Your Rights and Controls
You have full control over your personal information and can manage it in the following ways:
1. Information Query and Modification: You can query your account information and modify your phone number, password, and other information in "Personal Center - Account Settings" within the app. You can view all work records and edit or delete them in "Note Management."
2. Permission Management: You can enable or disable microphone, location, and file access permissions at any time in "Settings - App Management - Work Notes." You can modify the permissions for shared notes or disable sharing in "Sharing Settings" within the app.
3. Data Export and Backup: You can export work records to PDF/Word format and store them locally on your device in "Settings - Data Management," or enable "Auto Backup" (supports local backup or encrypted cloud backup) to prevent data loss. 4. Account Cancellation: You can cancel your account in "Personal Center - Account Security." Before canceling, please ensure that you have exported important work records. (After account cancellation, all associated personal information and work records will be completely deleted within [30 days] and cannot be restored.)
V. Third-Party Service Description
This app may integrate a small number of third-party service modules to implement specific auxiliary functions. We strictly control the information processing behavior of third parties, as follows:
Third-Party Login Service: If you log in using a third-party account such as Google Account or Apple ID, the third party will synchronize your account unique identifier (such as OpenID) with us, but will not share your account password or other sensitive information. The processing of such information is subject to the privacy policy of the third-party platform.
File Storage Service: If you choose to store large files (such as Excel spreadsheets over 100MB) on a third-party cloud storage service (such as Google Drive), we will only obtain the file access link for inserting into notes and will not store the file itself. The storage and protection of files are subject to the privacy policies of the third-party cloud storage service. Map Service (Optional): If you use the "Location Tagging" feature, we may access location information from third-party mapping services (such as Google Maps). The information processing of such services is subject to the privacy policies of the third-party mapping service providers, and we will not share location information with any third party.
We recommend that you carefully review the privacy policies of third-party services before using these features to understand how they handle your information.
VI. Privacy Protection for Minors
This app is primarily intended for working adults and is not recommended for use by minors. If minors use this app with their guardian's consent, their guardians should assist them in understanding this Privacy Agreement and are responsible for protecting their information. We will not proactively collect additional personal information from minors. If we discover that a minor is using this app, we will delete the relevant information upon the guardian's request.
VII. Agreement Updates and Notifications
We may revise this Privacy Agreement based on changes in laws and regulations or updates to app features. Revised agreements will be notified to you through pop-up notifications or announcements within the app. Your continued use of the app after the revised agreement is updated constitutes your agreement to the revised terms. If you disagree with the revised terms, you may cease using the app and request to cancel your account.
