Competition Rules

Each year the Society shall hold various competitions as listed below.


1. The Three Stage Projected Image Competition

The Projected Image Competition will be held in three legs and will be for colour slides and digital images, see rule 10 for digital images.

All slides submitted must be 2x2" (5cm x 5cm), spotted with the member's number in the bottom left-hand corner when viewed the right way up, titled and glazed mounts preferred.

Slides may be 'Trade' or 'Home' processed and each competitor may enter up to three slides per leg.

No image over two years old may be entered into the competition.

Slides may be masked (on inside only).

Entries to be marked to a maximum of 30 points

The winner of the competition will be the member who, having entered all three legs, has the greatest number of points gained over all three legs. Only the highest marked image from each leg will go toward the member's final total.

The winner shall receive the Advanced Trophy


2. The Three Stage Black and White Print Competition

The Black and White Print Competition will be held in three legs.

Prints submitted by members must not exceed 20” x 16” / 500mmx400mm, or be less than 7"x 5" / 175mm x 100mm

Mounts should not exceed 20” X 16”/ 500mm x 400mm.

Prints made from a negative or a digital image will be accepted.

All the work must be by the competitor, including mounting.

No prints over two years old may be entered into the competition.

All prints must be mounted and titled.

Up to three prints may be entered into each leg of the competition.

All entries should have an official gummed label on the back top left-hand corner with the particulars requested entered thereon in BLOCK CAPITALS. The member's name and address must not appear on any print - only the member's number and year entered.

All entries to be marked up to a maximum of 30 points.

The winner of the competition will be the member who, having entered all three legs, has the greatest number of points gained over all three legs. Only the highest marked print from each leg will go toward the member's final total.

The winners shall receive THE BLACK AND WHITE PRINT TROPHY

3. The Three Stage Colour Print Competition

The colour print competition will be held in three legs.

Each member may enter up to three prints. Prints may be from a negative, from a slide or a digital image.

Prints should be mounted.

Prints must not be less than 5”x 7”/ 175mm x 100mm and not exceed 20"x 16" / 500mmx 400mm.

The winner of the competition will be the person who, having entered all three legs, has the greatest number of points, gained over the three legs. Only the highest marked print of those entered into each leg of the competition will go toward the competitor's final total

Mounts not to exceed 20"x16" 500mm x 400mm

All entries should have an official gummed label on the back top left-hand corner with the particulars requested entered thereon in BLOCK CAPITALS. The member's name and address must not appear on any print - only the member's number and year entered.

All entries to be marked up to a maximum of 30 points.

The winner will receive the COLOUR PRINT TROPHY


4. Mystery Subject Projected Image Competition

The Mystery Subject Competition will be for printed images.

A subject list for the competition will be compiled by the Competition Secretary and the draw will take place near the end of the year by those willing to enter the competition.

The competition will be subject to the rules in 1 and 10 in the case of 1. omitting the references to 3 legs.

The winner will be the person with the best set of images, judged as a set of three.

The winner shall receive the MYSTERY SUBJECT TROPHY.


5. The Best Colour Print, Colour Slide and Mono Print Competitions

Members can enter up to 3 colour Prints, Colour Slides and Mono Prints.

Judging will be carried out by the members present on the night, using a knockout format. The last entry left in at the end of judging in each section will be the winner.

Winners will receive the Best Colour Print Trophy, The Best colour Slide Trophy and The Mono Print Trophy.


6 Set Subject Competition

The Set Subject Competition will be for Colour Slides and Digital Projected Images A subject will be chosen at the A.G.M.

The competition will be subject to the rules of 1 and 10 in the case of 1, omitting the words relating to the three legs. Up to three prints and/or slides may be entered for the competition.

The highest marked print or slide will be the winner.

The winner will receive the SET SUBJECT TROPHY.


7 Knockout Projected Image Competition

Each member may enter up to six images. Colour Slides or Digital Files.

The winner will be the person whose slide is the one left in at the end of the competition.

The winner will receive the Jim Burlinson Cup.


8 Ladies Colour Print Competition

The competition will be subject to the rules in 3, omitting the references to 3 legs.

The winner shall be the lady with the highest marked image. The winner shall receive The Ladies Colour Print Trophy


9 The Ladies Projected Image Competition

The Ladies projected image competition will be for transparencies and projected digital images.

The Competition will be subject to the rules in 1 & 10. in the case of 1, omitting the reference to 3 legs.

The winner will be the lady with the highest marked image.

The winner will receive a trophy.

10. The Projected Image Competition

1) All entries submitted should originate from the personal work of the entrant. Using light falling on a photosensitive medium.( Slide film or digital camera )

2) Entries to be received at least 3 weeks prior to the competition date.

3) 3 Images per club member may be entered. Electronic image files must be prepared in JPEG format and with a maximum pixel dimension of 1400pix wide x 1050pix high whichever is the greatest and at a resolution of 72 ppi. The images will be projected for judging using a projector with a standard output size of 1400 pix x 1050 pix at 72 ppi. Colour settings of Adobe RGB 1998 or sRGB and colour temperature of 6500K. There will not be any correction of original images prior to projection. Each image should have a title.

4) Individual scores will be marked out of 30.

5) Copyright remains with the author.

6) The winner will receive the Alf Bainbridge Trophy


11. The Pop Wilson Memorial Trophy

The winner shall be the member who has the greatest number of points from all images entered

In the 3 stage projected image competition.

The winner shall receive THE POP WILSON MEMORIAL TROPHY.


12 Pinfold Trophy

The winner of the Pinfold Trophy shall be the person with the greatest number of points from the following competitions, the 3 stage projected image, the 3 stage black & white print, the mystery subject and the set subject.

The winner shall also receive a CERTIFICATE.

13. Judges for the aforementioned Competitions (with the exception of the Pinfold Trophy) shall be selected by the Syllabus Secretary.

14. Those entries judged as being either first, second or third in the aforementioned competitions (except for the Pinfold Trophy) shall each receive a CERTIFICATE which has been signed by the Chairman and the Competition Secretary.

15. Any of these Competitions will be void if less than two entries are received.

16. Each year the Society shall enter several Inter-club Competitions, the Rules of which will be circulated as and when necessary.

Selection of Slides for Inter-club Competitions will be made by a Committee whose members have been elected by the AGM of the Society.

17. Slides or Prints may be used in any other competition, provided they are not before the same judge.

18. Neither the judge or the committee will be held responsible for any damage or loss to competition entries. All work is submitted at the owners risk.

Constitution

1. Name

The name of the group shall be the Wallsend Photographic Society

2. Objects

The objects of the Wallsend Photographic Society are

To advance the education of its members and raise awareness in the general public of creative

photography in all its forms and also to provide leisure and social activities for its members to improve their quality of life and to provide them with companionship, mutual support and the resources and facilities to carry out these activities.

3. Area of benefit

Wallsend and surrounding areas

4. Powers

To further the objects, the Wallsend Photographic Society has the power to

4.1 Recruit volunteers

4.2 Work in partnership with other organisations

4.3 Acquire and dispose of property and equipment (Subject to any consents required by law)

4.4 Invest funds in any lawful way. Professional advice should be taken when necessary.

4.5 Raise funds by any lawful means except permanent trading.

4.6 Accept gifts either for the general purposes of the Wallsend Photographic Society or for a

specific purpose within or connected with the objects.

4.7 Do anything else within the law which promotes or helps to promote the objects.

5. Membership

5.1 Membership is open to any individual aged 18 or over or organisation that agrees with the

objects. Each member has one vote.

5.2 The committee must keep an up to date list of the members of Wallsend Photographic Society.

5.3 If the committee considers that a member's conduct is harmful to Wallsend Photographic Society.

5.3.1 The committee should ask the member concerned, or someone on behalf of the member concerned, to put his or her case to a committee meeting.

5.3.2 If after hearing the member's case the committee decides that the member should leave Wallsend Photographic Society, they may terminate the membership by written notice.

5.3.3 If the member wishes to appeal against the decision, a written appeal notice must be submitted by the member to the committee within 14 days. The committee must convene a meeting within 7 days of receipt of the notice to consider the written appeal. The member may be requested to attend the meeting to put his or her case to the committee. If after hearing the member's appeal the committee uphold their decision for the member to leave, the member will receive written

notification within 7 days.

6. The committee

6.1 The group shall be managed by a committee of not less than three and not more than twelve members. All committee members must be members of the group.

6.2 Committee members shall stand from the end of the AGM that they were elected at to the end of the next AGM.

6.3 The committee shall include a chair, secretary, treasurer and other people to share the tasks involved in running a group.

6.4 The committee shall meet a minimum of four times a year, and must keep a formal record of all meetings.

6.5 The quorum for a management committee meeting is three members.

6.6 Each member has one vote, and if the vote is tied, the Chair has a second casting vote.

6.7 The committee has the power to co-opt up to three members on to the committee to fill

vacant places until the next Annual General Meeting. Each co-opted member has one vote.

7. General meetings

7.1 The Secretary must give 21 days notice of a General Meeting to all members.

7.2 All members are entitled to attend and vote at the meeting.

7.3 The quorum for a general meeting is five members, or a tenth of the membership. whichever is the greater.

7.4 A formal record of a General Meeting shall be kept.

7.5 The Annual General Meeting (AGM) shall be held in April each year,or as soon as possible afterwards.

7.6 The AGM will

* Elect the committee members on a show of hands who will stand from the end of the AGM to the next AGM.

* Receive a report of the year's activities

* Receive the year's accounts

7.7 The committee can call a Special General Meeting (SGM) at any time. if five members request an SGM in writing, the Secretary must call one.

8. Finance.

8.1 All funds belonging to or raised for the Wallsend Photographic Society must be used in furthering the objects.

8.2 The Treasurer shall keep an account of all income and expenditure and shall present independently examined accounts at the AGM.

8.3 An independent Examiner who is not a member of the group shall be appointed to examine the accounts.

8.4 There shall be one or more bank or building society accounts in the name of the group. Cheques must be signed by two committee members,who must not be related.

8.5 Committee members may claim reasonable out-of-pocket expenses on terms approved by the committee. No other payments can be made to members of the group.

9. Changes to the constitution.

This constitution can only be changed at a General Meeting. The Secretary must give 21 days

notice of the meeting to all the members, along with details of the proposed changes to the

constitution. For the constitution to be changed over half of the members present at the meeting must agree.

10. Dissolution.

10.1 The Wallsend Photographic Society can only be dissolved at a General Meeting. The

Secretary must give 21 days notice of the meeting to all the members, along with details of the

proposed dissolution. For the group to be dissolved over half of the members present at the

meeting must agree.

10.2 If the members agree that Wallsend Photographic Society should be dissolved, any assets

remaining after the clearing of all debts and liabilities shall be given to a group with similar objects, or, if this cannot be done, to any charitable purpose.

11. Arrangements until the first Annual General Meeting.

Until the first annual general meeting takes place, this constitution shall take effect as if references in it to the management committee were references to the people whose signatures appear at the bottom of this document.

12. A copy of this constitution shall be available to all members.
