Vecion Privacy Policy
Effective date: October 6, 2026
This Privacy Policy explains how Vecion ("Vecion," "we," "us," or "our") collects, uses, and protects information through the Vecion mobile application (the "App"), which schools use for attendance, academics, fees, and communication between teachers, students, and parents.
1. Information We Collect
Account Information — When your school enrolls you in Vecion, we collect your name, email address or staff ID, role (teacher, student, or parent), and a password (stored securely, never in plain text).
Academic Information — Attendance records, grades, assignments, exam results, class schedules, and learning materials associated with your account.
Financial Information — School fee invoices and payment status. Vecion does not directly process or store payment card details.
Communications — Messages exchanged between teachers, students, and parents within the App, and any attachments shared in those conversations or in leave requests.
Location Information — With your permission, the App checks your device's location only when you clock in for attendance, to confirm you are at school. We do not track or store your location at any other time.
Biometric Information — If you enable Face ID or fingerprint unlock, authentication is handled entirely by your device's operating system. Vecion does not receive, collect, or store your biometric data.
Device and Usage Information — Basic technical information such as app version and device type, used for troubleshooting and improving the App.
2. How We Use Information
We use the information above to:
- Provide core features: attendance, academics, fees, and messaging
- Authenticate your account and secure access
- Send notifications about school activity (e.g. new grades, messages, announcements)
- Respond to support requests
- Maintain and improve the App
We do not sell your personal information, and we do not use it for third-party advertising.
3. Children's Privacy
Vecion is used by schools to manage data about students, including minors. Student accounts and data are created and managed by the school and, where applicable, a parent or guardian — not directly by the child. Parents can contact their school or Vecion (see Section 10) to review, correct, or request deletion of their child's information.
4. How We Share Information
Information is visible only within your school's account ("tenant") — to the teachers, students, and parents your school's administrators have authorized to see it (for example, a teacher sees their students' attendance; a parent sees their own child's records). We do not share your information with other schools or with third parties for marketing purposes.
We may share information where required by law, to protect the rights and safety of users, or with service providers (such as hosting infrastructure) who process data on our behalf under appropriate confidentiality obligations.
5. Data Security
We use industry-standard measures — including encrypted connections (SSL/TLS) and secure password storage — to protect your information. No method of transmission or storage is 100% secure, but we work to protect your data to industry standards.
6. Data Retention
We retain information for as long as your account is active with your school, or as needed to provide the App's services, comply with legal obligations, and resolve disputes. Your school administrator can request deletion of a user's data when it's no longer needed.
7. Your Rights
Depending on your location, you may have the right to access, correct, or request deletion of your personal information. Requests can be made through your school administrator or directly to us at the contact below.
8. Third-Party Services
The App does not currently integrate third-party analytics, advertising, or crash-reporting SDKs. If this changes, we will update this policy accordingly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date above, and significant changes may be communicated through the App.
