Step 1
Export the list of transactions from the software that houses the transaction information. (e.g. Expensify, credit card company, another QuickBooks company file, etc.) This export must be in a format accepted by Transaction Pro Importer.
Transfer transaction data to QuickBooks from Excel, text files or any ODBC compliant database. From within the Transaction Pro Importer, you can automatically import QuickBooks transactions or lists from Excel, text files or any ODBC compliant database. Easy configurable field level mapping gives you complete flexibility and control in importing your data. Transaction Pro will even enable you to edit your data prior to sending it into QuickBooks.
This App streamlined uploading daily sales reports. By creating a spreadsheet template for all locations to use and set up the importer, one can then simply import the spreadsheets and transaction pro will read the data. There is some finagling to ensure you have the correct format ... seemingly across operating systems - windows to Mac there may be some discrepancy.
When upgrading to allow multiple users, additional users cannot access the app from the app list in quickbooks unless they are the initial owner of the app... so additional users have to sign in through intuit on the transaction pro website - unless possibly upgraded on Quickbooks? Though if you pay the extra price to upgrade the app, seems one should receive more benefit.
It's not TPI, its the QuickBooks API. QB needs to validate the transaction prior to saving it, and I agree it is very slow. Even when you save a transaction via the QB interface, you see a pause when it saves the transaction. Think about if you had to enter and save a customer, item and transaction. QuickBooks would take at least a second to do these saves.
If you don't care about updating the customer or other lists, you can check the option "Do not update QuickBooks Lists" and that will give you some speed since TPI doesn't need to update the customer record before saving the transaction.
Comments:This app really has freed up time by taking tedious tasks such as entering sales one by one and importing just one sheet - one and done. When you have thousands of transactions to enter and you work alone you quickly realize just what a great deal and HUGE help this program offers. I literally can enter transactions in a week versus months. As an ecommerce business owner, I am always looking for ways to save time. Work smarter, not harder! I, for one, hate paperwork and data entry. I would rather spend my time doing what I love - designing and making jewelry! I use the app for ALL data entry. Bills, Payments, Sales Receipts, Refund Receipts, Adding Customers, etc. With both low cost and ease of use you seriously can't go wrong with this app. I've used it several years in a row and will continue to do so!
With straightforward directions and spreadsheets, entering and importing all of my transactions into Quickbooks was extremely easy. Even if I made an error, whether in my addition on a line or if an item was not found in quickbooks, TI Pro alerted me, allowed me to correct it, and then import it without ever leaving the app. This is a huge time saver! Most apps make you correct YOUR spreadsheet on your computer, save, and then re-upload!
The ability to remove certain fields which arent required from the excel import templates would be useful as currently they are just having to be left blank and the file doenst look as clean as it could do. Not a big deal though as we have worked out what fields are required and just assigned them a different colour.The software is unable to import sales/bills transactions to a balance sheet GL account. When attempting to do this the software creates a new expense account but does not give the user any notice that this has happened. We discovered this when compiling our company month-end reporting and items were in an unexpected place. This should be fixed as it could lead to a significant problem.
Comments:When we used to import invoices, they'd auto populate the billing/shipping address with the customers info. We need this for sales tax purposes. Also, when we mark "taxable" on the import template, it doesn't register in QB, so we have to manually copy the billing address to the shipping address and then click on taxes to make the invoice show the correct sales tax amount. It's a lot of extra work and it's not scalable. When we get to higher volume or when we find a better solution, we'll have to switch away from transaction pro. I also don't like that i have to open a new browser in incognito mode for the app to work.
Very good software to import all transactions into QuickBooks. All transaction fields are very professionally setup to upload in related General Ledger Account of QuickBooks. System has an option of saving QB imported transactions into excel format. This option is also excellent to keep records.
