Internal Communication
Email: All internal emails should be professional, concise, and relevant. Sensitive information should be encrypted where necessary.
Instant Messaging: For quick updates or informal communication, employees may use approved platforms (e.g., Microsoft Teams). Avoid discussing confidential or sensitive topics.
Meetings: Meetings should have clear agendas and objectives, and minutes must be recorded for formal discussions.
Email: Ensure that external communications follow Telecel’s email signature guidelines. Use only company-approved templates and formats.
Phone Calls: Answer calls with a professional greeting and handle customer or vendor inquiries courteously.
Social Media: Only authorized personnel are permitted to post or respond on Telecel’s official social media accounts. Employees are strictly prohibited from discussing company matters on personal social media accounts. Additionally, employees must refrain from sharing any political opinions on public social media platforms, including WhatsApp profile pictures or stories.
Press Releases: All media statements must be reviewed and approved by the Communications Department.
Do not share confidential information without proper authorization.
Ensure compliance with data protection laws, including GDPR or local regulations.
Tone and Professionalism
Maintain a courteous and respectful tone in all communications.
Avoid using slang, offensive language, or unprofessional remarks.
Adhere to the company’s branding guidelines in all external materials.
Use approved logos, fonts, and templates for presentations and documents.
During emergencies or crises, all communications must be handled by the Communications Department or authorized personnel (CoS).
Employees must direct any media inquiries to the designated spokesperson.
All employees will receive training on this policy during onboarding and periodically throughout their employment. Regular workshops will be conducted to address updates and reinforce best practices.
Monitoring and Compliance
The company reserves the right to monitor communications made using Telecel’s systems to ensure compliance with this policy.
Violations may result in disciplinary action, payroll deduction, including termination, depending on the severity of the breach.
Reporting Concerns
Employees should report any communication-related concerns, such as breaches of confidentiality or inappropriate behavior, to their direct manager or the People Department.
