To make band happen, parent volunteers are needed.

A significant part of Woodstock Bands’ success is due, in part, to the army of parent volunteers that support the band throughout the season. Without parent volunteer support the band would not have the funds or human resources available to field a show every year.

If you’re a Band parent, sign up … it’s fun!

It’s true that band is a wonderful experience for the students. It’s also true that there’s a lot of work required to support it! That’s why we need you as a volunteer. And, yes, you really will have fun when you volunteer and get to know other parents and band students! There are many ways to help. If you have any questions – just ask – we are happy to find something you would enjoy! You will find that the friendships you will make with other band parents can help the entire organization, and make these years a lasting memory for you and your child.

We recommend each parent volunteer for at least 3 events each season. This can be a shorter event like helping feed the students to shifts in the concessions stand or helping sort sprit wear orders. Just remember – if there are items sold, there are parent volunteers to sort and distribute the items. Please reach out and let us know your interests! Email the volunteer committee and we will get you plugged in with the right group.

    2. Once completed, place the form in an envelope and deposit them in the white box outside Mr. Loehr's office.

What is our overall job?

  • Sign ups for practices, games, competitions

  • Snacks and water for games

  • Help get kids ready

  • Bus assignments

  • Be at things ☺

  • Help with uniforms: plumes, etc

  • Check backpacks before events, keep the backpacks close during events!


Chaperone

Practice Indoor –

  • Grab your name tag (hanging to the left of the first aid shelf).

  • Bring small ice chest, first aid kit, and first aid book in from the black-top.

  • Set up in the hallway between the band room and cafeteria. Be a conspicuous set of eyes and an available resource for the Directors, instructors and students.


Practice Outdoor –

  • Grab your name tag (hanging to the left of the first aid shelf).

  • Have everything in place before the band gets to the black-top.

  • Tents and chairs stored in trailers. Sometimes the Quartermaster or set up crew have taken these out of the trailers for us. If possible, get them before to help this group out. They are the hardest working students in the entire band. (Prop-Dads may have them set-up.)

  • Bring the first aid backpack. Check supplies first! Along with the medication and first aid bags, check for a few packs of crackers for any students who have a “sugar drop”, Ziploc baggies to make cold-packs for minor injuries, bug spray, sunscreen.

  • Bring the small towels to go in the ice cooler.

  • Remind Prop Dad of the day to fill the blue rectangle ice chest with some water and ice, and the small ice chest with ice.

    • Place white towels inside to have ready for over-heated students.

    • Small chest is for the ice to make cold-packs.

  • Encourage students to DRINK WATER!

  • Students with heat related problems are allowed to sit in the chairs under the canopies. Students can only spend a cumulative 30 minutes sitting out of practice before we need to call someone to take them home.

  • Document all first-aid interactions in the First Aid Book. Be meticulous.

  • Assist students during restroom breaks at outdoor practices and events, they can’t go alone – no students on the gators!

  • Take hourly heat index measurements and record them. Record all break times. Remind Directors to take breaks if they forget.

  • Ask Directors and instructors if they need anything throughout the practice, and offer them water, sports drinks, snacks, etc…


First Aid

These volunteers have received special training and instruction. This is a very simple description of their responsibilities:


Indoor and Outdoor Practices, Home and Away Games:

  • Check the stock in all first aid kits, and make sure they are in the proper location; black- top, hallway for indoor practices, stadium and bus. Dispense first aid, assess medical related issues as they arise, contact Mr. Loehr and/or emergency contact.

  • Move first-aid kits and all medical information everywhere the band goes.


Uniforms

  • No food, drinks (other than clear soda or water), or gum while in uniform.

  • Eating arrangements must be made before performance preparations begin, which includes leaving the school for away football games and festivals.

  • All band members will remain in full uniform until told otherwise.

  • Students must check out uniforms at specified times on performance days and check them back in at the end of the performance activity.

  • Band students with hair below collar length must take measures as to assure uniform appearance (pin up, tuck inside hat).

  • NO Jewelry - please do NOT get your ears pierced during or right before marching season

  • NO bright nail polish or sunglasses are to be worn during performances; bulky objects (large wallets, watches, cell phones, etc.) are not to be worn beneath uniform.

  • Appropriate clothing must be worn under uniforms for changing purposes.

  • Public displays of affection while in uniform are not appropriate at any time (i.e. holding hands, kissing, etc.).


Performance Procedures

  • All band members will remain in their assigned seats while in football stands.

  • All band members will remain in set position (at attention) when marching in / out of a stadium or competition location. At no time are they to interact with other students or family members in the stands.

  • Instruments are to only be played when instructed by band staff or drum majors.

  • Persons not affiliated with the band will not be allowed to sit with the band in the stands at football games or performance sites (parents, siblings, alumni & dates, etc.).


Travel Rules

  • All school and county rules apply to all students at band functions.

  • Always treat chaperones and bus drivers with respect, and follow their directions.

  • All students must travel to and from all games and competitions on the band bus, unless alternate arrangements have been made with the Band Director.

  • Approximate return times are communicated several days prior to the game / event.

  • Kindly be in the school parking lot ready to pick your child up upon return. Any significant time change (either early or delayed arrivals) will be communicated via Facebook and Remind 101.

  • Inappropriate displays of affection while traveling on buses will not be tolerated.

  • Use of offensive, abusive, or vulgar language and behavior is strictly prohibited.

  • Use of tobacco, alcohol, or other illegal substances, are strictly prohibited.


Band Camp Chaperone Shift Schedule:

  • 9:00am - 12:00pm: Parking lot

      • First shift needs to get the first aid backpack, bag of rags, the red folder and the two chairs from the uniform room.

  • 12:00pm - 3:00pm: Inside, near cafeteria entrance

  • 3:00pm - 6:00pm: Inside, near cafeteria entrance

  • 6:00pm - 9:00pm: Begins inside, near cafeteria; will move to parking lot around 6:30 pm

      • Last shift responsible for returning all items above back to the uniform room.
