When you create an account, Firebase Authentication processes your email address, password and authentication information. Your password is not stored in your pet diary. Your account identifier connects your account to its cloud data.
We process the information you choose to enter: pet profiles, names, species, optional profile details, diary entries, events, reminders, weight measurements, photos and attachments. Free-text entries and uploaded files may contain personal information. Please include only information you are entitled to provide.
Cloud diaries use Google Firebase Authentication, Cloud Firestore and Cloud Storage. The app also keeps local copies and pending changes so you can use your diary offline. Guest diaries are stored locally; signing in does not automatically transfer guest records to your account.
Firebase Analytics processes app activity and technical information, such as app-instance identifiers, device and operating-system information and app events. TailNotes uses this information to understand usage and improve the app. We do not include diary text, pet photos, email addresses or attachments in the analytics events we deliberately send. Network addresses and other technical information may also be processed by service providers to operate and protect their services.
If you contact support, we process your message, contact details and any information you include to answer your request.
We use information to authenticate accounts, save and synchronize diaries, provide shared care, display reminders, support exports, answer support requests, improve the app and protect the service. Where applicable, processing relies on providing the service you request, legitimate interests in operating and improving it, legal obligations, or consent where required. You may withdraw consent where consent is the basis, without affecting earlier lawful processing.
When you invite another user, we process the recipient's email address and invitation information. Once an invitation is accepted, both participants can view and edit the shared pet's profile and diary, including its photos and attachments. The creator manages access and deletion. An invited participant can leave shared care.
Revoking access stops future authorized access, but cannot recall copies already downloaded, exported or saved by another person. Review information before sharing it.
Exported pet cards may include a photo, profile details and contact information you choose to add. When you save or share a card through iOS, its recipients and the destination service receive that content. TailNotes cannot delete copies held by those recipients.
When online nutrition assistance is available, you choose whether to send a question and confirm the processing disclosure before sending it. Firebase authenticates the request and processes your question and the nutrition details entered on that screen. OpenAI processes the question, food name, packaging country and selected parameters such as species, age, weight, health/diet category, activity and feeding frequency to classify the request and search for official manufacturer information.
We do not automatically include the pet's name, profile photo, diary, attachments, your email address or Firebase account identifier in the OpenAI request. Information you type into the question may contain personal information; avoid unnecessary private details. Manufacturer searches use the food name and packaging country. Search providers and visited websites may process queries or technical connection data under their own policies.
TailNotes does not save advisor conversations to your cloud diary. It keeps account-linked request counts and timestamps to enforce limits, without questions or measurements in those counters. Provider technical logs may be retained. We request that Responses are not stored as API application history; this does not mean immediate deletion of all data by OpenAI. Security/abuse monitoring and temporary processing or caching may apply under OpenAI API data controls. We do not claim Zero Data Retention.
You can decline and continue using other diary features, or stop sending questions at any time. Closing the advisor clears its on-screen draft and answer; it does not recall information already processed by providers. Availability and supported species may be limited while the feature is developed.
Apple processes payments for TailNotes Plus. TailNotes uses StoreKit on your device to verify purchases and subscription access. We do not receive your payment-card details or store subscription receipts in your Firebase diary. Subscription access follows the Apple Account used for purchases, independently of your TailNotes account.
Google Firebase processes information to provide authentication, cloud storage and analytics. OpenAI provides optional nutrition processing and manufacturer search when enabled. Apple provides distribution, purchases and operating-system services. See Google's Privacy Policy, Firebase privacy information and Apple's Privacy Policy.
We do not sell your personal information. Information may be disclosed when necessary to comply with applicable law, respond to a lawful request, prevent abuse or protect legal rights. Service providers may process information in countries outside your own, subject to applicable transfer safeguards.
The app requests access to photos, camera or notifications when needed for the corresponding feature. You can manage these permissions in iOS Settings. TailNotes does not request precise device location. Files you import may contain metadata or other information you choose to provide.
We retain cloud data while needed to provide your account and service. Local caches and pending changes may remain on your device. Deletion changes synchronize when a connection is available; backups or records required for security or legal purposes may persist for a limited period according to the relevant retention requirements.
You can edit your information and delete pets you own in the app. You can request account deletion in the app after confirming your password. The server processes deletion of account-linked cloud records and uploaded files; shared records owned by another user remain with their owner. Immediate completion is not guaranteed, and provider logs/backups or records needed for security or legal purposes may persist. For a copy of your data or assistance with other privacy rights, email anghel.developer90@gmail.com from the account email where possible. We may need to verify your identity before acting. Rights such as access, correction, deletion, restriction, objection, portability and complaints to a supervisory authority depend on applicable law.
Uninstalling the app does not delete your cloud account or cancel a subscription. Copies exported to Photos, other apps or other people are outside the app's deletion controls.
We use authentication and access controls to protect cloud diaries. No storage or transmission system can be guaranteed completely secure. Keep your account credentials private and invite only people you trust.
TailNotes is not designed specifically for children. Where local law requires a parent's or guardian's authorization, it must be obtained before providing personal information. Contact us if you believe a child has provided information without the required authorization.
