# Privacy Policy: Synthesis RVU Tracker
_Effective October 12, 2026. Applies to the Synthesis RVU Tracker Chrome extension, version 0.2.2 and later._
Synthesis RVU Tracker is an internal productivity tool of **Radiology Associates of San Luis Obispo (RA-SLO)**, distributed privately to RA-SLO's Google Workspace domain (ra-slo.com). It tracks the radiology studies a radiologist signs in the practice's Synthesis reporting system and totals the day's work RVUs (relative value units). This policy explains what the extension reads, what it stores, what it sends, and to whom.
## Summary
- It works only on the Synthesis reporting system (`*.synthos.health`).
- It does **not** transmit patient names, medical record numbers, dates of birth, accession numbers, or report text.
- For each study the radiologist **signs**, it sends the exam type, the time, the RVUs and a one-way hash of the accession number to the practice's own private Google Sheet.
- Data is never sold, never used for advertising, and never shared outside the practice, apart from Google acting as the practice's service provider.
## 1. What the extension reads
On Synthesis pages only, the extension reads:
- **The exam being reported:** modality and exam type (e.g. "CT / CT ABD PEL W"), the accession number, the Synthesis order ID from the page address, and the "linked exams" count.
- **The worklist:** the modality, exam type and accession number of the rows displayed, so the exam type can be matched exactly.
- **Whether the report was signed:** clicks on Synthesis's footer actions (Sign, Skip, Worklist), whether the report editor is editable or locked, and the method, path, status and JSON field names of Synthesis's own network requests (with numeric and other identifiers blanked out). Keyboard input is never recorded, except for combinations with Ctrl/Alt/⌘ or function keys, which are used to recognize a sign shortcut.
Patient names and other demographics are displayed on these pages, but the extension does not collect them. The optional **Diagnostics → Snapshot** feature records the page's structure (element labels) with dates, long numbers and names removed.
## 2. What is stored on the computer
In the Chrome profile's extension storage (`chrome.storage.local`) on the computer where the study was read:
- one record per study opened that day: time, modality, exam type, accession number, Synthesis order ID, outcome (signed, skipped, not signed, viewed, addendum) and how it was detected;
- a copy of the same radiologist's rows from the central log (section 3b) for today and yesterday, so totals include their other workstations;
- the RVU values looked up for each exam type;
- settings (including a name for the workstation);
- a diagnostic log, with accession numbers masked and no patient identifiers.
Records are kept for the 60 most recent days that have activity; older days are deleted automatically. Removing the extension deletes all of this data.
## 3. What is sent, and where
The extension communicates only with two web applications that RA-SLO operates on its own Google Workspace account (Google Apps Script, `script.google.com`). Both require the user to be signed into Chrome with an ra-slo.com Google account.
**a) RVU lookup (RA-SLO "RVU Census" web app).** For the studies opened in Synthesis, only the **modality and exam type** text is sent, to look up the exam type's CPT/HCPCS code and RVUs in the practice's RVU reference spreadsheet. If an exam type is not yet in that spreadsheet, it is added, and the practice's script asks Google's Gemini API to choose the matching CPT code from the CMS physician fee schedule data. Only the exam type text and candidate code descriptions are sent to Gemini, never patient information.
**b) Central log (RA-SLO "RVU Tracker Log" web app).** For each study the radiologist **signs**, the extension sends:
- a **study ID**: a one-way cryptographic hash (SHA-256) of the accession number, used only so that a study read on two workstations is counted once (the accession number itself is not sent);
- the time signed, the tracking day, and the workstation name;
- the modality, exam type, CPT/HCPCS code, work RVU, total RVU and the RVU lookup status;
- how the signature was detected, and whether the radiologist counted or removed the study by hand.
The web app records the radiologist's **Google Workspace email address**, which Google supplies when the signed-in browser calls the app, so that each radiologist's totals are kept separate. These rows are written to a private spreadsheet in RA-SLO's Google Workspace, owned by the practice's administrator. Radiologists do not have access to it. The sheet is used to show each radiologist their combined total across workstations and to compare hourly and daily totals with the practice's billing data.
The extension sends nothing for studies that were skipped, opened without signing, or only viewed. The radiologist can turn off the central log in the extension's Settings; the extension then sends only the RVU lookups in (a).
## 4. What is not done
- No analytics, tracking pixels, advertising or third-party SDKs.
- No data is sold, rented, or transferred to third parties. The only service provider is Google, which hosts RA-SLO's Apps Script and Sheets under RA-SLO's Google Workspace agreement.
- Data is not used for any purpose other than the radiologist's RVU totals and the practice's productivity and billing reconciliation, and never for creditworthiness or lending.
- No remote code is loaded. All of the extension's code is in the package reviewed by the Chrome Web Store.
## 5. Security
All communication uses HTTPS. Both web apps accept only signed-in ra-slo.com accounts and an access token. The central spreadsheet is private to the practice's administrator and those the practice authorizes.
## 6. Retention and your choices
- Local records: the 60 most recent days with activity, or until the extension is removed or the day is reset.
- Central log: kept for as long as RA-SLO needs it for productivity and billing reconciliation. A radiologist can ask the administrator to correct or delete their rows.
- In the popup, any study can be removed from the totals or added to them. These changes apply on every workstation and in the central log.
## 7. Children
The extension is a workplace tool for licensed physicians and is not directed to children.
## 8. Changes
This policy will be updated when the extension's data handling changes, with a new effective date at the top.
