Schedlify ("we", "us", "our") provides workforce management software for security and service companies. This Privacy Policy explains how we collect, use, and protect personal information when you use our website, mobile app (iOS/Android), and related services (the "Service").
If you use Schedlify through your employer, your organisation controls much of your workforce data. We process that data to provide the Service on their behalf.

We may collect the following types of information:
Account & contact information
Name, email address, phone number, company/tenant ID, role, physical address, emergency contact details, and date of birth (where provided).
Authentication data
Login credentials (passwords are hashed, not stored in plain text) and secure session tokens on your device.
Workforce & employment data
Employee/guard profiles, employment history, qualifications, National Insurance/UTR numbers, bank details for payroll (account number, sort code, bank name), compliance documents, medical questionnaire responses, and criminal/legal disclosures (where used by your organisation).
Attendance & location data
Precise GPS coordinates at check-in, check-out, hourly proofs, and panic alerts; shift details, timestamps, and geofence verification results.
Photos, videos & documents
Attendance proof photos, profile photos, incident report images, and uploaded documents (e.g. PDF certificates).
User-generated content
Incident descriptions, occurrence book notes, holiday/time-off reasons, and operational notes entered in the platform.
Financial & business data
Pay rates, payroll summaries, billing/invoice data, and client/site business contact details. Subscription payments for Schedlify are processed on our website — the mobile app does not collect payment card details.
Technical & usage data
Device type, app version, IP address, security logs, and audit records of actions taken in the Service. Admin address search queries may be sent to geocoding providers (e.g. OpenStreetMap/Nominatim) for site setup.
We do not sell your data or use it for advertising or cross-app tracking.
We use your information to:
Provide and operate the Schedlify platform
Authenticate users and enforce access controls
Manage scheduling, attendance, documents, incidents, and notifications
Verify on-site attendance using location and photo proof
Support payroll, billing, and compliance workflows

Within your organisation — with authorised users (admins, schedulers, supervisors) based on their role

You can manage permissions in your device settings. Some features won't work without required permissions.
We protect data using HTTPS/TLS encryption, secure token storage, access controls, tenant isolation, and password hashing. We retain data while your account is active or as needed for legal, contractual, and operational purposes.
Depending on your location (including UK data protection law), you may have the right to access, correct, delete, or port your data, or object to certain processing. Employee/guard users should contact their organisation's administrator first. You can also contact us directly (see below).
Your data may be processed in countries other than your own. We use appropriate safeguards where required by law.
Schedlify is a business platform not intended for users under 16.
We may update this policy and will post the revised version on this page with an updated date. Continued use after changes means you accept the updated policy.

The Schedlify mobile app collects data linked to your identity, including contact info, precise location, photos/videos, health information (where submitted during onboarding), financial/payroll data (where submitted), user ID, and usage/audit data. This is used for App Functionality only — not for tracking or advertising.
