Welcome to the front lines of our local tax practice. As a new associate, you are the face and voice of our firm.
Many of our clients in Hodgenville are our neighbors, local business owners, and farmers. They aren’t just looking for someone to process numbers; they are looking for someone they can trust.
When a client asks a highly specific tax question (e.g., "Can I write off the transmission I just put in my farm tractor?"), Never guess. Giving a wrong answer creates major liabilities for the firm and breaks down trust.
Instead of panicking or guessing, prioritize accuracy and establish a clear follow-up timeline. Use this exact framework:
Acknowledge: Validate that their question is important.
Protect: Explain that you want to verify the latest rules to be 100% correct.
Commit: Give them a specific time when you will call them back.
"That is a really important question, and because tax rules can get highly specific based on your exact situation, I want to make sure we give you the 100% correct answer. Let me write this down, review it directly with our senior team, and get back to you by 3:00 PM today. Does that work for you?"
Lesson 2: Chasing Missing Documents
Clients frequently forget critical paperwork such as W-2s, 1099s, and local tax records. When calling or emailing to request these items, keep the tone collaborative. Avoid making the client feel disorganized or defensive.
The "Puzzle Piece" Strategy
Frame the missing document not as an error on their part, but as the final piece of a collaborative project.
"We are moving right along on your return, Mr./Ms. [Last Name]! To make sure we maximize your deductions and wrap this up, we just need one last piece of the puzzle: your 1099 interest statement. As soon as you can drop that off or send it over, we'll get this finished up for you!"
The Local Touch (For Rural/Older Clients):
If a client mentions they struggle with computers or uploading documents securely online, offer an easy local alternative:
"If it's easier for you, don't worry about the online portal. You can just slip it through our front door mail slot or drop it off at the front desk next time you run into town.
The moment a return is filed, clients want to know exactly when their money will land in their bank account. Never promise a specific calendar date, as IRS processing backlogs are entirely outside our control.
Provide the standard federal guideline, emphasize that delays happen, and arm them with the official tracking tool.
"The IRS generally processes e-filed returns within 21 days, but they can occasionally experience delays. The fastest and most accurate way to track it is by using the official IRS tool online. I can print out the exact web address for you, or we can look up the 'Where's My Refund?' page together right now if you'd like!"
