The nominal ledger is simply a list of records. An additional area called the chart of accounts defines what type of account each nominal code is. For example, whether it's used for sales or purchases.

If you opened sage and was able to backup your data and then were prompted for one after restoring the file, then i would suggest that the file had a password, you should contact the client for this password.

There was a recent post with advice on how to clear this but contacting your client would be easier, maybe suggesting it will cost then 100 for sage to unlock your programme will help them remember!

Hello everyone. I am new here. I've just started working for some company as an account assistant. They use Sage Instant. They have final accounts report done by external accountant but they haven't closed the year on Sage. The previous accounting assistant left the company some time ago and no one kept the accounts up to date. The company's year end is in November so soon this current year has to be closed off but I was asked to close first the previous year ended in November 2013. Once I do it I need to enter all transactions for this year.

Yes, you should always close year end to take advantage of all of Sage's facilities. I was trying to say that it doesn't necessarily have to be done before the end of November 2014. Take your time to get things right - such as sorting out the balance on the bank account. Then, when you are happy with your 2013 accounts, close 2013. When you close 2013, all transactions with transaction dates (as opposed to entered dates) between December 2013 to November 2014 will be put into months 1 - 12 of the year ended 30 November 2014.

With 2013 open the Sage balance period called Future contains all entries dated after 30 November 2013. Up until 30 November 2014 the Future balance represents the year-to-date figure for the year ended 30 November 2014. If you move past 30 November 2014 (i.e. keep entering transactions for December 2014, January 2015 etc) without closing 2013, the later transactions will add the 2014-15 transactions to the running balance in the Future period, making it more difficult to work with your accounts within Sage. The software to which I was referring attributes every transaction to a month and fiscal year. 2013-14 transactions are always distinguishable from 2014-15 transactions.

My three clients bought sage instant 2014 for me to load on my laptop as they don't have computers. I tried so many times to install all but I could not do it. Then I phoned sage they said with this new version of sage I can not run three companies on one laptop by seprating different directories.They said I need to buy two more laptop so they I can install each sage program into different laptops.

On this one I have created custom PHP files (next to WHMCS and .htaccess controlled) which will get the correct data from WHMCS and compile the output to the correct format of the CSV file. This problem has occurred with a customers V8.02 the information re the offending file is correct but the location is wrong its in Program files\sage.

The easiest way to find & either delete or change is to use Search & change it there.

I noticed whilst completing a chart of accounts that Sage groups Rent Income into the 4000's range; ie Sales. When a Profit and Loss Account is run, Sage adds this income to sales but surely this is incorrect. Should it not be classed as 'Other Income' or alternatively, under 'Overheads' but in brackets? If so, how on earth do I get the chart of account to relect this? I'd be grateful for any advice.

You will have to edit the chart of accounts to show the rent income as a separate line on the P & L. If you are not entirely sure how to do this I suggest doing a backup first before attempting it in case everything goes pear shaped! Alternatively you could practise on the Practice Company data first.


You need to open the Nominal Ledger - COA - Edit. Make sure Sales is highlighted in the Category type and you will see all the nominal codes included in this under the right hand window. I think in a standard COA the 4000 range is split into a few sections 4000 - 4099 being Sales, and Other Sales being 4900 to 4999. I think the easiest thing to do would be to alter the Other Sales to read 4900 to 4998 and then on the line underneath this enter Rent Income and the range 4999 to 4999. Click on Save and exit out of that. If you haven't got a nominal code in your COA for Rent Income you will have to create a new one from the Nominal Ledger (and obviously give it the number 4999).
