Privacy Policy – RosterUp

RosterUp (“we”, “us”, or “our”) provides a mobile application that helps teams coordinate pickup games and manage rosters, schedules, and communication (the “App”). This Privacy Policy explains how we collect, use, and share information when you use the App.
By using RosterUp, you agree to the collection and use of information in accordance with this Policy.
1. Information We Collect
We collect the following categories of information:
Account Information
Name
Email address
Password (stored by Firebase Authentication, not in plain text)
Optional: phone number
Optional: profile photo URL
Team & Game Information
Team names, sport, location and description
Game details such as date, time, location (including optional map coordinates/links), and notes
RSVPs and attendance confirmations
Chat and User‑Generated Content
Messages you send in team chats
Any other content or information you voluntarily submit through the App
Location Information
If you grant permission, approximate or precise location obtained from your device’s GPS or similar technologies to:
Suggest locations for games
Show games near you
Fill in or display a game location on a map
You can disable location access at any time in your device settings; core features may still work, but some location‑based features may not.
Device and Usage Information
Device type, operating system, app version, language, and region
Log data such as screens visited, features used, and basic interaction events
Crash reports and performance data
Push Notification Identifiers
Firebase Cloud Messaging (FCM) token to send push notifications such as game reminders and important account updates
Analytics and Advertising Data
Analytics events via Firebase Analytics (e.g., sign‑ups, logins, team creation, game creation, chat activity)
Advertising identifiers and related data used by Google Mobile Ads (AdMob) to show in‑app advertisements
Preferences
In‑app settings such as theme (light/dark/system) and other user preferences stored locally (e.g., via shared preferences) or in your user profile.
2. How We Use Your Information
We use the information we collect to:
Create and manage your account
Allow you to create and join teams and games
Coordinate invitations, RSVPs, and game status updates
Enable team chat and other communication features
Show and manage game locations (including maps and directions)
Send you push notifications (e.g., game updates, reminders, security or service messages)
Monitor and improve the App’s performance, reliability, and user experience
Understand how the App is used through analytics
Detect, investigate, and prevent fraud, abuse, or security incidents
Show in‑app advertisements (where applicable)
Comply with legal obligations and enforce our terms
3. Legal Bases (EEA/UK Users)
If you are in the European Economic Area or the UK, we process your information on the following legal bases:
Performance of a contract (providing the App and its core features)
Legitimate interests (e.g., securing the App, understanding usage)
Your consent (e.g., optional analytics/ads where required, location sharing, push notifications)
Compliance with legal obligations
You may withdraw consent at any time using in‑app settings or device settings where applicable.
4. How We Share Information
We do not sell your personal information. We share information with:
Service Providers and Sub‑Processors
Google Firebase (Authentication, Firestore database, Analytics, Crashlytics, Cloud Messaging)
Google Mobile Ads (AdMob) for displaying advertisements
Other vendors that provide hosting, storage, analytics, logging, and related services
These providers process data on our behalf in accordance with their own privacy policies.
Other Users
Members of your teams can see team and game details (including location), your name, profile photo, and messages you send in team chats.
When you choose to mark games as public or discoverable, limited game information (such as sport, time, and location) may be visible to other users.
Legal and Safety
When required by law, regulation, legal process, or governmental request
To protect the rights, property, or safety of us, our users, or others
Business Transfers
In connection with a merger, acquisition, restructuring, or asset sale, subject to continuing protection of your information.
5. Advertising and Analytics
Firebase Analytics & Crashlytics
We use Firebase Analytics to understand how users interact with the App and Firebase Crashlytics to diagnose crashes and stability issues.
These services collect device identifiers, events, and crash data.
Google Mobile Ads (AdMob)
We use AdMob to display ads within the App.
AdMob may collect device identifiers, coarse location, and usage information to provide and measure advertising.
Depending on your region, you may see consent or preference prompts related to personalized ads and tracking.
You can limit ad tracking on your device by adjusting operating system settings (e.g., “Limit Ad Tracking” or “Opt out of Ads Personalization”).
6. Location Data
You can choose whether to share device location:
If enabled, we use location to:
Suggest nearby games
Fill in or display game locations
Show locations in map views or links
If disabled, you may still manually enter locations, and many features will still function.
You can stop collection of precise location at any time by turning off access in your device settings and within any in‑app toggles.
7. Data Retention
We retain your information for as long as necessary to provide the App and fulfill the purposes described in this Policy, unless a longer retention period is required by law.
Team, game, chat, and profile data are retained while your account is active.
Analytics and log data may be retained for a reasonable period for troubleshooting, security, and aggregate reporting.
When you delete your account (see below), we delete or anonymize personal data associated with your account, subject to technical limitations and legal retention requirements.
8. Your Rights and Choices
Depending on your location, you may have rights to:
Access, correct, or update your account information
Delete your account and associated user data
Object to or restrict certain processing
Withdraw consent where processing is based on consent
Lodge a complaint with a data protection authority
You can:
Update profile information in the App via your account or settings screens.
Control notifications through in‑app settings and your device’s system notification settings.
Control location access using your device’s location permissions.
Delete your account using the “Delete account” option in the App’s settings. This attempts to delete your Firestore user data and then your authentication account. If you cannot complete this process, contact us using the details below.

9. Children’s Privacy
RosterUp is designed to be used primarily by adult coaches, organizers, and parents. We do not knowingly collect personal information directly from children under the age of [13/16, depending on jurisdiction requirement] without appropriate parental consent.
If you believe that we have collected personal information from a child without proper consent, please contact us and we will take steps to delete such information.
10. International Transfers
Our services and third‑party providers (such as Google Firebase and AdMob) may process your information in countries other than your own, including the United States. These countries may have data protection laws that differ from those in your jurisdiction.
Where required, we rely on appropriate safeguards to protect your information in connection with international transfers.
11. Security
We take reasonable technical and organizational measures to help protect your information, including using reputable cloud providers and access controls. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Effective date” at the top and, where required, notify you through the App or by other appropriate means.
Your continued use of the App after changes are posted constitutes your acceptance of the updated Policy.
