This Privacy Policy applies to the Clear Minds mobile application (the “Application”), developed and operated by Smart Forum (“we”, “our”, or “the Service Provider”) on behalf of the Karim Khan Afridi Welfare Foundation (KKAWF). The Application is provided free of charge as a public service focused on drug prevention and awareness.
By using the Application, you agree to the practices described in this policy.
When you download and use the Application, we may collect the following information:
Name, email address, and phone number
For staff users: school name, language, region, and grade taught
Google Sign-In, or OTP verification via SMS/email
Storage Access – required for:
Uploading profile pictures
Uploading images or documents as mandatory proof in survey forms (for staff users)
Admin users uploading gallery content or downloadable resources
Camera Access – required if the user chooses to take a photo directly instead of selecting from storage
Note: Uploading an image in surveys is a required feature for staff users. Permissions are requested only when needed and are used solely for the purposes described above.
The Application includes an AI-powered chatbot feature.
When you interact with the chatbot, the messages you type (user input) are transmitted to our AI service provider, OpenAI, to generate relevant responses.
Only the text you enter and necessary conversation context are sent. Personal information such as your name, email, or phone number is not sent automatically unless you include it in your message.
Users must provide explicit consent before using the AI feature. Consent is requested the first time you access the chatbot.
Flagged messages (messages you report) are transmitted to KKAWF staff for quality monitoring and moderation purposes.
The AI service provider does not use your data for advertising or any other commercial purposes.
Chatbot responses are not stored permanently, except for flagged messages as described above.
We do not collect or track precise GPS location
Users may enter their region manually
We collect and use your information to:
Monitor program effectiveness and feedback (staff users)
Authenticate users and manage access
Improve AI-based services and moderation
Review flagged chatbot messages to maintain safety and relevance
We do not use your information for advertising or commercial marketing.
The Application uses trusted third-party services to support its core features. These services may collect limited information as described in their respective privacy policies:
Google Play Services – for app stability and performance
Firebase Authentication – for user login and account management
OTP Providers – to send verification codes via SMS or email
YouTube API Services – used by admin users to link and display educational YouTube videos within the app
By using this app, you are also agreeing to the YouTube Terms of Service and Google Privacy Policy.
OpenAI – used to generate responses for the AI chatbot feature.
When a user interacts with the chatbot, the message text entered by the user is transmitted to OpenAI’s AI services to generate a response.
OpenAI processes this data solely for the purpose of generating a reply and does not use it for advertising.

To authorized KKAWF staff for internal program analysis

The Application is not intended for children under the age of 13, and we do not knowingly collect personal information from them.
If you believe a child has used the app and submitted personal data, please contact us for immediate removal.
