You can create calendars that show the schedules of a group of people or resources. For example, you can view the schedules of all the people in your department or all the resources, such as conference rooms, in your building. This helps you schedule meetings quickly.

You can view side-by-side multiple calendars that you created and also calendars shared by other Outlook users. For example, you can create a separate calendar for your personal appointments and view both your work and personal calendars side-by-side.

You can also copy or move appointments between the displayed calendars. Use the Navigation Pane to quickly share your own calendar and open other shared calendars. Depending on the permissions granted by the owner of a calendar, you can create or appointments on shared calendars.

You can use overlay view to display multiple calendars that you created and also calendars shared by other Outlook users. For example, you can create a separate calendar for your personal appointments and overlay your work and personal calendars to quickly see where you have conflicts or free time.

If you have access to a SharePoint site, you can view the lists of events from that site in your Outlook Calendar. You can change the list in Outlook, even when you are working offline. The changes are automatically synchronized when you connect to the Internet again. Also, you can view the SharePoint calendars side-by-side with other personal or shared calendars.

You can send your calendar to a mail recipient as an Internet Calendar, but keep control over how much information is shared. Your calendar information appears in the body of the email message as an Internet Calendar attachment that the recipient can open in Outlook.

With the Delegate Access feature, one person can use his or her own copy of Outlook to easily manage another person's calendar. For example, an administrative assistant can manage the calendar of a manager. When the manager designates the assistant as a delegate, the assistant can create, move, or delete appointments and can organize meetings on the manager's behalf.

I switched to New Outlook on a machine thats running Windows 10 but I had to switch back to Callendar app because the taskbar callendar on the right bottom corner is no longer working with the calendar within the New Outlook app. Im a student so when theres a new assignment or exam coming nearby i immediately fill it in the calendar on the taskbar. In the callendar app everything is great! Because Callendar app synchronises not only with gmail accounts but also with the Personal account of the windows!

yes but my issue is that newly created events within the callendar on the taskbar were not showing up in the New Outlook calendar. I didnt even use outlook before, i used the system calendar and mail apps. It seems the problem is that the New Outlook doesnt even have implemented synchronisation with the windows account itself, meaning that if i create some new item on the taskbar callendar - it writes it on the windows account that is not accessible in the new outlook. So my problem is the exact opposite of what you mentioned in your first sentence. Calendar items made in the taskbar calendar are not showing up in the new outlook

Unfortunately it looks like exactly what i initially thought. You can add only mail-related accounts excluding the quasi "account" within the windows itself. Im using the old apps but i will be forced into that new outlook by 2024. I understand their strategy - to try to make windows 10 users as unconvenient as possible so people would switch to win 11. Unfortunately the new outlook seems to be made primarily for windows 11 and is ignoring many windows 10 functionalities and my problem seems to have no solution other than to use the old apps and then look for some open source alternative when the official apps will be retired.

So, whats your answer now when I HAVE TO use new Outlook? What can I do if I wanna use calendar in taskbar: Honey have you any idea how you complicated life to neurodivergent people? I am not going to change Windows to W11 because of that! Maybe this is the right time to go back to Linux.

I recommend you switching back to old app or use some open-source alternative. There was one but its currently only mail app with the calendar clone TODO. or perhaps older version of the mail and callendar would help. I downloaded one just in case the calendar and mail apps will be either removed or terminated by Microsoft. If it doesnt impact your productivity i recommend Linux tbh

For what it's worth, I think I found a temporary fix for continuing syncing between the calendar app and taskbar calendar. Yes, you must toggle back to the classic/old Outlook and then REMOVE the New Outlook using "add or remove programs" feature. Functionality of the old calendar app has been restored and my taskbar calendar is once again syncing. Of course, if your ability to toggle back or remove the New Outlook has been curtailed in some way this will not work for you. And at the end of this year all bets are off but let's hope there's a more permanent solution by then.

Unfortunately, it is not currently possible to sync the Windows 10 taskbar calendar with the new Outlook app. The taskbar calendar only syncs with the Calendar app, which is why you were able to see your events there but not in the new Outlook app. However, you can still access your events in the Calendar app until it is discontinued.

Is there a way to sync a report calendar or more than smartsheet calendar to outlook? We have multiple sheets in a report that feeds our global calendar, our leadership team wants these to show up in their Outlook calendars.

Can you elaboarate on how you did this? My org is using Smartsheet to show key corporate meetings and rather than create meeting in outlook and then add in smartsheet, it would be great to automate this.

We created a group email address that would be added to all calendar events (TeamCalendar@xxx.com). Our process is for this address to be added to all the invites as an Optional Attendee. Then we created a PowerAutomate workflow to insert a row for each new event.

For calendar events that get deleted, we created an automation to move them to a "Trash" sheet. Another quirk we found is that for some reason it writes it twice, so we just added a Remove Duplicate Additions helper column and added this formula. Action Type, iCalUId, StartDateTime are all fields that Outlook needs so we hide those columns.

Hi, I am looking for the latest and greatest training information regarding how to sync your SmartSheet calendar with your outlook calendar. If anyone can help, please let me know. Thank you, Allison Bishop

Hi! Is there a way I could edit the Title of a calendar I created in Calendar App? I do not want to start over and create a new one just for the new title hence wanting to know if just the title could be edited. I am able to edit all other configuration through 'Settings' but just not the title. Am I missing something?

Our company is trying to find how to merge Outlook to Asana, I am seeing how to merge Asana to Outlook, but now the other way. Also When I import a task from Asana to my outlook the task shows up but not the overall project the task is linked to, it makes it confusing as to what the task is meaning without the full task when doing a quick look at my Outlook Calendar.

I have created a separate project that defaults to calendar view. Inside this project I create sections for active projects. I add all tasks to this project and filter to the appropriate sections. This has been the easiest way to manage the sync and to utilize the calendar view. I almost went with My Tasks, but as a PM I wanted the view to include tasks assigned to others as well.

This is a good idea, the functionality is there but only useful if you have a couple of tasks per day. I have over 30 all day tasks per day sitting in my calendar which is overwhelming. Are there any other options?

If this is a Office365 calendar you should be able to do this with Integromat, there is a module to watch for Office365 calendar events and from there you can create a monday item. I do this myself the other way around, when monday item is updated > update the Office365 calendar.

I'd like to build a Flow which took a date in a Sharepoint list column and created an event in the Outlook calendar on that date. In creating this event, I want to turn on a reminder for 1-2 months before the actual date of the event created.

I have my Outlook calendar synced to HubSpot so people can book time on my calendar. Recently I noticed that the time zones on my calendar are coming through in Central America, rather than CST, even though both my Outlook and HubSpot accounts are set to CST.

I noticed the issue because I got a confirmation email that said someone had booked time on my calendar at 12:00 PM CST, but it showed up on my calendar at 1:00 PM and was showing the Central America time zone. That is doubly confusing, because CST and Central America are the same time zone.

Our situation:

We created a Hubspot calendar for an event in Chicago, so we set it to the Central Standard Time (UTC -6) time zone, which is correct for Chicago.

We're based in the UK, so our Outlook calendars are set to (UTC -0). However, because we're in daylight savings time, the integration between Hubspot and Outlook decided there was a 7 hour time difference, and prospects received a calendar invite 1 hour later than they should have done. Hubspot does not take into account that Chicago is also in daylight savings time if you set it to Central Standard Time (UTC -6).
