Volunteers and Companions

If you would like to participate as a volunteer, please follow the procedure below to apply and sign up for volunteer opportunities. If you would like be a Companion for your elementary-aged school-shed student, please also follow this procedure from start to finish to apply and sign up for programs for your school-shed student member!

Companions are also required to be present with their student while visiting the Living Lab facility. Any child in 5th grade or below must be accompanied by a Companion.

Basic steps

How to create a Ocean Discovery Portal Account

Step 1. Go to the Ocean Discovery Registration Portal page at https://oceandiscovery.datapropeller.com/ParticipantPortal/Index, scroll down and click Create an Account to begin the account creation process.

Note: Read the instructions before continuing. Some important things that volunteers should keep in mind when registering are:

  • You must be 18 years old to create an account. If you are under 18, please have an adult parent/guardian create an account and add you under Managed Family or Volunteer Group.
  • Your username is your email account. If you forget your email or login password or find an error message, contact Ocean Discovery staff. PLEASE, DO NOT CREATE A NEW ACCOUNT.
  • We will not share any information collected from you during the registration process. All the information we collect is strictly for the administration of our programs.
  • We are here to help! Contact Ocean Discovery at 619-795-8365 or send us an email to reception@oceandi.org if you have any questions.

Step 2. Enter the account information:

a. Email: this email address will be assigned to you as your username to log in to the portal. Be sure to enter an email that you review regularly. Be sure to write your email as you will need it any time you wish to subscribe for the opportunities.

b. Password: You will need your email to recover a lost password. Keep in mind that your password must meet the requirements indicated on the screen. Please be sure to write your password.

Step 3. Enter the Name and Address information. More specifically, include First and Last name, Current Address, City, State and Zip Code.

Step 4. Enter your demographic information. This information includes Date of Birth, Gender, Hispanic / Latino (yes or no) and Race. If you are Hispanic/Latino, please make your best guess for what you would like to be considered for Race.

Step 5. If you wish to receive emails about our opportunities at an alternate email address (for example, another family member), enter an email address in the Notification email field.

Step 6. If you want to receive reminders about programs or days of service by text message, enter your mobile number (cell phone number) here.

Note: You will NOT be charged any fee for accepting text messages from Ocean Discovery Institute.

Step 7. Select your Reason to register with Ocean Discovery. You can select more than one option if applicable. Please, select all the options that apply to you.

Note: To select several options, select your first option, then click on the field again and the same list will appear with the field already selected in gray. Continue selecting as many options as apply.

Step 8. Please skip this question. DO NOT enter any information on the Requested Organizations.

Step 9. Enter your Family Emergency Contact information. You must enter at least one emergency contact that Ocean Discovery staff can use in case you and/or your family members have an emergency while participating in the Ocean Discovery opportunities. Click on the Add contact button for each new contact you wish to enter.

Step 10. Once you have entered your account information and reviewed our Ocean Discovery Community Agreement, click Send.

Note: By clicking submit, you agree to join Ocean Discovery Institute in an effort to successfully create a safe and welcoming environment for you / your child and others to make discoveries, respecting the Community Agreement.

After sending your account information, you will receive an email with the login information and the DataPropeller website. Keep this for future reference.

How to Create a Volunteer Group

Creating a Family or Volunteer group is required to manage youth volunteers under one adult who has a DataPropeller account with Ocean Discovery. However, every adult needs to have their own DataPropeller account.

If you need to create a family or volunteer group, follow the procedure below. If NOT, please skip to the next section titled How to Submit a Volunteer Application.

Step 1. After your account information has been submitted, you will have access to your portal. To log in, go to the registration portal at https://oceandiscovery.datapropeller.com/ParticipantPortal/Index and select Log in in the upper right corner.

Step 2. Once you have successfully logged in, click on the Main Menu and select Manage Family or Volunteer Group.

Step 3. Under Group Name, type the name you would like to give to your Volunteer group. Examples include "Moreno Family" or "Santos Family." Then click Create.

Step 4. To add your youth volunteer to your account, first click on Select next to the group you want to add them to.

Step 5. Next, click on View Family or Volunteer Group Details.

Step 6. Next, click on 2. Add Youth Volunteer

Step 7. Then, complete the requested information.

Once you have added your managed users, continue with this guide to submit an application and register for sessions.

How to Submit Volunteer Applications

Step 1. After your account information has been submitted, you will have access to your portal. To log in, go to the registration portal at https://oceandiscovery.datapropeller.com/ParticipantPortal/Index and select Log in in the upper right corner.

Step 2. Once you have logged in, click on the main menu and select Apply to be a Participant.

Step 3a. First, in the Apply drop-down field near the top of the screen, select Myself to apply to become an Adult Volunteer. Then, click on the green Apply button next to the VOLUNTEER (Adult) application.

Here are some useful tips to complete the application.

a. You can select multiple answers for some questions. To choose multiple options, click on CTRL on your keyboard and select all the options that apply.

b. For single response questions, be sure to select the best option.

c. When entering text, be sure to keep your answer as short and concise as possible.

d. The questions highlighted in GREEN are those that have been answered, those in RED are those required, and the questions that have not been answered or are optional will not show color.

e. Click on Next screen at the bottom of each page to advance to the next section or Previous screen if you want to review or make changes to your answers. Once entered, your answers will be automatically saved.

f. Once all the sections are complete and you have reviewed your answers, click Submit. You will see a message that says the application has been submitted.

Note: The following goes through each section and asks in the VOLUNTEER (Adult) application, answering any questions that may arise.

Volunteer ADULT - Interests

Question 1: In the drop-down list, select the volunteer opportunity for which you wish to apply.

Note: If you are unsure of the title of the opportunity you are requesting, click on the document entitled "Ocean Discovery Institute Volunteer Role Descriptions" to see the common volunteer roles and their descriptions.

Question 1: Select the other opportunities you would like to know more about. Then select Next Screen.

Volunteer ADULT - Experience

Question 1: Enter your employer's information. If you are not currently employed, enter N / A.

Question 2: Select your field of work or study if it falls within a STEM field. If you do not see your exact field, select the closest option. If this does not apply to you, please

Question 3: Write the languages you have mastered. Then, select Next Screen.

Volunteer ADULT - Additional Information

Question 1: Select the best option that describes how you learned about the Ocean Discovery Institute.

Question 2: Enter any additional information necessary to help you serve as a volunteer, such as mobility accommodations, service details ordered by the court or any other relevant skill. Then select Next Screen.

Volunteer ADULT - Background Check

Question 1/2: for each question, select the answer that applies to you. We must ask these questions to ensure the safety of our participants. This is also an opportunity to self-report for these answers. Some volunteer opportunities require that all new volunteers undergo a background check. If you report, or if it is revealed through a background check, that the answer is yes to any of the questions, you can not volunteer at the Ocean Discovery Institute. When you are finished with Question 2, select Next Screen.

Volunteer ADULT - Acknowledgments

Question 1: The Volunteer opportunity you are applying to may require a background check. Select Yes, I do to agree to hold harmless Ocean Discovery Institute and any individual or entity providing them with the information received from this background check. Please note that should you not agree, your application will not be approved.

Question 2/3: For each question, please click on the file attachment to open, and review the documents. Select Yes, I agree to agree to the terms. Please note that should you not agree to the terms, your application will not be approved. Then click Next Screen.

Signature

Question 1: To confirm that the information you have entered in this application is true, type your name to officially and legally sign your name.

Question 2: Then select today’s date. Afterwards, click on the Submit Application button to finish and submit your application.


After you submit your application you will receive an email from us and a message on your portal regarding your application status.

  • You will be able to print your application after it is submitted. When viewing the list of applications, the file will be available next to the application you submitted. Here, you can review your responses and your application status.
  • You will be notified by email and portal within the next 3 days if your application has been approved.

Volunteer YOUTH Application Guide

Step 3b. First, select name of the youth you are filling out a volunteer application for in the Apply field located near the top of the screen. Next, click on the green Apply button next to the VOLUNTEER (Youth) Application.

Volunteer YOUTH - Interests

Question 1: From the drop down list, select the volunteer opportunity your volunteer youth is applying for.

Note : If you are not sure which opportunity to apply for, click the document titled "Volunteer Role Descriptions for Ocean Discovery Institute" to view our common roles and their descriptions.

Question 2: Select all other volunteer opportunities your child would like to know more about. To select multiple options, hold down the CTRL key while selecting. Then click Next Screen.

Volunteer YOUTH – Additional Information

Question 1: Select the best option that describes how your child heard about Ocean Discovery Institute.

Question 2: Type any additional information that is needed to best help your child serve as a volunteer such as mobility accommodations, court-ordered service details, or any relevant skills. Then select Next Screen.

Emergency Contact

Question 1/2/3. Enter up to 3 emergency contacts the following format: First Name Last Name, Relationship, Phone Number: (XXX)-XXX-XXXX. For Example, Emergency Contact #1: Erika Moreno, Mother, (619)555-5555. Once at least one name has been entered, click Next Screen.

Volunteer YOUTH – Acknowledgements

Question 1/2: For each question, please click on the file attachment to open, and review the documents. Select Yes, I agree to agree to the terms. Please note that should you not agree to the terms on behalf of your child, your child’s application will not be approved.

Signature

Question 1: To confirm that the information you have entered in this application is true, type your name to officially and legally sign your name.

Question 2: Then select today’s date. Afterwards, click on the Submit Application button to finish and submit your application.

How to Sign Up for Sessions

Registering for a Session as an Adult Volunteer or for your Youth Volunteer

Step 1. On your Portal Dashboard, under the Getting Started section, click View for View Session Calendar.

Step 2. The Calendar of Opportunities page will open.

NOTE: All Volunteer Opportunities will be displayed in the color orange. Not all volunteers are eligible for every volunteer opportunity listed on the calendar.

Step 3. Find the volunteer session that you would like to sign up for.

  • On the Calendar of Opportunities, the session will tell you basic details such as the session name, date, and start time (See Example Above: Volunteer Service Day - Facilities starting at 9 a.m. on the 19th).
  • To see more details of the session at a glance, you can place the cursor on the desired session without clicking on it.
  • To see the full details of the session, click on the desired session and the Session Description page will open .

Step 4. Confirm that this is the session for which you want to register and then click on Register.

The Register button is the left, green button right above the word description.

Step 5. Click Myself to register yourself, OR click on your [Managed User’s Name] to sign them up for the opportunity.

There are two boxes next to each other. The first is green with the title "Register" and the second is red with the title "Cancel Sign-Up". Clicking the green box will prompt a drop down list of names. If you have volunteer youth associated with your account their name will be listed as a Managed User. Select yourself or your managed user to sign either yourself or them up for the session.

Step 6. Upon registering, the Enrollment Summary page will open. This is a confirmation page to show that you have successfully signed up for the volunteer opportunity.
