Extenuating Circumstances(EC) Form Submission
Dear Student,
Please note that with effect from 4th May 2026, the Extenuating Circumstances (EC) Application Process for NSBM examinations will transition to a fully online mode, and all submissions will be mandatory via your Student Profile in UMIS. You may refer to the attached guidelines for detailed information.
What are Extenuating Circumstances (EC)?
EC refers to unpredictable situations beyond your control that may occur during your examination and prevent you from taking it. Examples include illnesses (hospitalizations), long-term health conditions (mental or physical), significant life events (own marriage/ death of an immediate family member) or technical issues (Exclusively applicable to online-conducted final examinations).
Instructions for Applying EC in UMIS:
If you face such circumstances, you may submit an EC application within 14 days of the exam date, accompanied by valid supporting evidence as detailed in the attached EC guidelines. The application should be submitted via UMIS by following the steps below:
Step 01: Log in to your Student Profile https://students.nsbm.ac.lk/umis_student_profile
Step 02: Navigate to the "Exam Schedule" tab
Step 03: Click on the “Apply” button next to the relevant module
Step 04: Complete the EC form and upload supporting evidence
Please note: After submitting the online EC application, you must also submit the original supporting documents to the Examination Division for forwarding to the EC Board.
Important Notice:
This process will be implemented and will apply exclusively to all NSBM examinations commencing from 4th May 2026. It is not applicable to examinations conducted by partner universities (University of Plymouth, Victoria University, Southern Cross University); please adhere to their specific instructions.
Students who are eligible to participate in an examination but are unable to do so or are absent due to valid reasons, as outlined above, may submit an application for EC.
Students who are not eligible for the examination and are unable to participate or are absent for any reason are not eligible to apply for EC and must instead apply for a repeat examination.
Each student may submit up to 3 EC applications throughout their entire degree program, which will be automatically forwarded to the EC Board for approval. Applications submitted beyond this limit via UMIS will not be automatically processed by the system. Instead, students must follow the prescribed procedure, including obtaining approval from the Head of Department (HOD), as detailed in the system-generated email triggered when an EC application exceeds the permitted limit.
