Nexus FullCircle ("we," "us," or "our") operates the FullCircle Main mobile application (the "App"), a mobile companion for teams using Odoo, used to manage customer relationships (CRM), human resources tasks (HRM), projects and tasks, and company scheduling. This Privacy Policy explains how we collect, use, store, and protect information when you use the App.

Access to the App requires a valid Odoo account provisioned by your organization's administrators.

## 1. Information We Collect

We collect the following categories of information through the App:

### 1.1 Account Information

- Your login credentials (username/email and password) used to authenticate against your organization's Odoo server

- Assigned user identity, role, department, and team membership (e.g., sales team, project team)

### 1.2 Contact and Customer Information (CRM)

- Names, email addresses, phone and mobile numbers of business contacts and customers

- Company details, including business address, and job title/function

- Country and state/region associated with a contact

### 1.3 Sales and Pipeline Information (CRM)

- Leads and opportunities, including expected revenue, probability, priority, sales stage, and deadlines

- Quotations and sales orders, including line items, pricing, payment terms, and order status

- Product and pricelist information used to generate quotations

### 1.4 Employee and HR Information (HRM)

- Employee directory details: name, job title, department, and work email

- Attendance records: check-in and check-out timestamps and worked hours. We do **not** collect GPS location or biometric data (such as fingerprints or facial scans) as part of attendance tracking

- Timesheets: hours logged against projects and tasks

- Leave and time-off requests: leave type, dates, reason, and approval status, along with an optional supporting document or photo attached via your device's camera or photo library (e.g., a medical certificate)

### 1.5 Project and Task Information

- Project and task names, descriptions, tags, priority, deadlines, and kanban stage/status

- Assignees, project members, and their roles

- Comments and internal notes logged against tasks

- Time entries logged against projects and tasks

- Photos, documents, and other files you choose to attach to a task or project (e.g., reference images, signed documents), accessed via your device's camera, photo library, or file system with your permission

### 1.6 Calendar and Scheduling Information

- Your personal leave/time-off entries and company holidays, shown in a unified calendar view

- Company events and meetings, including attendee lists and their accept/decline status

- A free-text location description for an event (e.g., "Conference Room A" or an office address), entered manually by the event organizer in Odoo. This is descriptive text only — the App does not use your device's GPS or location services to determine or record this information

### 1.7 Communication and Activity Information

- Internal notes, comments, and message threads logged against CRM and project records ("chatter")

- Scheduled activities (e.g., calls, meetings, to-dos), reminders, and their completion status

### 1.8 Technical and Usage Information

- Device type, operating system, and app version

- Log data (e.g., crash reports, error logs, general usage activity) for maintaining app performance and security

We do not collect precise or background device location data. The App does not use your device's GPS or location services in this version.

## 2. How We Use Your Information

We use the information collected to:

- Provide, operate, and maintain the App's core features (contact management, sales pipeline and quotations, attendance and timesheets, leave requests, project and task management, calendar and scheduling)

- Authenticate users and maintain the security of company data

- Allow managers to view relevant records for legitimate business purposes

- Generate and send quotations and sales documents to customers

- Track attendance, timesheets, and leave for HR administration and payroll-adjacent recordkeeping

- Coordinate project and task assignments and deliver activity updates

- Maintain the security, integrity, and proper functioning of the App

- Comply with applicable laws, company policies, and recordkeeping obligations

We do not use your information for advertising, and we do not sell your personal information to third parties.

## 3. How We Store and Share Information

- Data collected through the App is stored on your organization's Odoo server infrastructure.

- Your session credentials are stored locally on your device using the platform's secure keychain/keystore (via encrypted secure storage), not in plain text.

- Information is accessible only to authorized personnel, such as managers and IT staff, on a need-to-know basis.

- We do not share your personal information with external third parties, except:

 - As required by law, regulation, or legal process

 - With service providers who help us operate the App (e.g., hosting providers), under confidentiality obligations

 - In connection with a business transfer (e.g., merger or acquisition), where information may be transferred as part of that transaction

## 4. Data Retention

We retain data collected through the App for as long as necessary to fulfill the purposes described in this Policy, including compliance with legal, accounting, HR, or reporting obligations, or as required by company policy. Data is generally retained for the duration of employment and for a reasonable period afterward as required by applicable law. Customer, contact, project, and task data is retained as needed for ongoing business relationships and recordkeeping.

## 5. Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect your information from unauthorized access, alteration, disclosure, or destruction. Login credentials are stored securely on-device using platform-provided secure storage. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

## 6. Your Rights and Choices

Depending on your location and applicable law, you may have rights to:

- Access the personal information we hold about you

- Request correction of inaccurate information

- Request deletion of your information (subject to legal/employment recordkeeping requirements)

Since accounts are created and managed by your organization's IT/system administrators rather than self-registered, account and data deletion requests should be submitted to your IT department or system administrator, who will process the request in accordance with your organization's policies and applicable law.

This App is not directed at, or intended for use by, children. We do not knowingly collect information from individuals under the age of 18 through this App.

## 8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time, including when new features are introduced. We will notify users of material changes by updating the "Last Updated" date above and, where appropriate, through in-app notice. Continued use of the App after changes take effect constitutes acceptance of the revised Policy.
