Read all PTA email carefully. Share information on workshops, conferences, and special projects with unit membership.
Update the Annual Officers’ Contact Information Update on Memberhub.
Provide your committee chairmen with the Region Specialists’ names and phone numbers to be in contact for any assistance.
Attend and/or send members to region workshops and conferences.
Make payment for insurance and fidelity bond and signed documents to AIM at the address included in the Insurance packet by June 30th. If insurance documents and payment are not received by June 30th, your PTA’s coverage will lapse and will be reinstated as of the date all documents and payment are received by AIM. Insurance will not made retroactive to July 1st.
First membership payment is due to the State Office by October 31st. Additional payments should be sent monthly to be eligible for awards. Final dues payment for the year must be received in the state office by May 31st
Use your PTA unit name and unit code number (12-_____) on all PTA-related checks, forms, mail, and e-mail correspondence, and especially when leaving phone messages.
Always have your bylaws available at meetings for your members to consult.
Renew unit bylaws every three (3) years. Detailed instructions can be found under the Bylaws Renewal tab of this site.
Contact your Region/Associate Director:
∙ for advice and assistance. Directors are available to attend any board or membership meeting.
∙ with change in name/address of unit officers, especially the president
∙ with reports of unit/council’s achievements
∙ with information on programs or events you would like to share
∙ with request for presentation of PTA 101 (School of Instruction)

Use PTA checks for PTA purchases, registrations, etc. whenever possible. THERE MUST BE TWO (2) SIGNATURES AND YOUR UNIT CODE # ON ALL PTA CHECKS
Present Sales NYS Tax Exemption Certificate (ST-119.1) when making a purchase for the PTA whenever possible.
Some vendors will not accept the ST-119.1 if a member pays with cash or their personal check or credit card. If a member has made a purchase for your PTA with their own funds and did not use the ST-119.1 or the vendor would not accept the ST-119.1, you can reimburse them for the sales tax they paid. NYS PTA treasurer clarified this a few years ago.
What is a unit in good standing?
∙ Have no fewer than 25 members (unless there are extenuating circumstances.)
∙ Has filed the Form 990 tax return.
∙ Submits first membership dues payment to the state office by October 31st
Has paid the balance of membership dues to NYS PTA by May 31st.
∙ Has submitted the insurance application and the required insurance
premium to AIM.
∙ Has Bylaws approved by the New York State PTA every three (3) years.
∙ Has Annual Unit/Council Officer Update completed in Memberhub.
