By booking or utilizing services provided by Myroadtrip YYC Travels, clients agree to be bound by the terms outlined below. These terms apply to all reservations unless otherwise specified in writing by Myroadtrip YYC Travels.
1. Reservation & Service Terms
Clients are responsible for verifying all reservation details (pickup address, date, time, number of passengers, billing) upon receiving the trip confirmation.
Hourly charges begin at the scheduled reservation time, regardless of actual passenger arrival or boarding delays.
Chauffeurs are not authorized to make decisions regarding billing or service charges; such discussions will not be considered valid.
2. Payment Policy
Any outstanding balance must be settled with the chauffeur at pickup, via cash, cashier's check, or credit card. A valid government-issued photo ID is required for all credit card transactions if full payment has not been made in advance.
Unpaid invoices beyond 10 days are subject to late fees, interest charges, and potential collection efforts, including legal action and third-party recovery services.
3. Business Continuity
Upon termination or expiration of any agreement, Myroadtrip YYC Travels retains the unrestricted right to conduct business with any third party, including your affiliates, customers, or competitors. The company will not engage in arbitration or litigation regarding this clause.
4. Liability & Service Limitations
Myroadtrip YYC Travels is not liable for service disruptions or delays resulting from inclement weather, mechanical failure, traffic, or any unforeseen circumstances ("Acts of God"). Services will not be provided on gravel roads, snowy or muddy driveways, alleys, or other inaccessible areas.
5. Conduct Policy
Smoking, vaping, consumption of illegal substances, fighting, or any inappropriate behaviour is strictly prohibited.
Violations may result in immediate trip termination without a refund, a $300 cleaning and sanitization fee, and potential notification of law enforcement.
Food is not permitted in any vehicle.
6. Alcohol Policy
Alcohol may only be consumed between 10:00 AM and 2:00 AM.
All passengers must be 18 years or older; passengers appearing 25 or younger must present ID.
Underage drinking is strictly prohibited.
7. Itinerary Changes
All requests for changes to pickup time, location, or vehicle type must be submitted via email, fax, or text message. Clients are advised to confirm that their requested changes have been approved and acknowledged by Myroadtrip YYC Travels.
8. Damages & Cleaning
The client is liable for any damages caused by themselves or their party to the vehicle's interior & exterior or equipment. This includes but is not limited to spills, tears, burns, or broken equipment.
A $500 cleaning fee will be charged for spills or sickness.
9. No-Show Policy
If the chauffeur cannot contact the client within 15 minutes of the scheduled pickup time, the trip will be deemed a no-show and charged in full.
Airport pickups follow separate policies outlined below.
10. Cancellation & Refund Policy
Stretch Limousines & Specialty Vehicles:
48+ hours' notice (Sun–Thurs): No charge.
Less than 48 hours' notice: No refund.
Special events, weekends, long weekends: Require a minimum of 3 weeks' notice. Otherwise, full trip amount is non-refundable.
Out-of-Town Trips (50+ km from city centre):
≥ 1 week notice: Full refund.
< 1 week notice: No refund. (Fridays & Saturdays excluded.)
Special Events (e.g., Stampede, Weddings, NYE):
50% deposit required (non-refundable) at time of booking.
Remaining 50% is charged 3 weeks before event.
Only overpayments beyond the deposit may be refunded.
COVID-Related Cancellations:
Refunds issued only if government restrictions prevent travel.
Advisories do not qualify for refunds.
Within regular cancellation periods, only credit will be issued, not a refund.
11. Airport Pickup Policy
Domestic Flights: 30-minute grace period.
International Flights: 45-minute grace period.
Additional wait time is billed in 15-minute increments at the standard hourly rate.
Failure to contact Myroadtrip YYC Travels before leaving the pickup area will result in a no-show charge.
12. Banff National Park Pass Policy
Trips to/from Banff: Client must provide a valid park pass or purchase one and hand it to the chauffeur for display.
Inbound Banff trips only: A $10 per person commercial park pass will be supplied and billed by Myroadtrip YYC Travels.
13. Overtime Charges
Any delay exceeding 10 minutes beyond the reserved time will be billed in 30-minute increments, charged to the card on file or paid directly to the chauffeur.
14. Lost & Found
Lost items are kept at the Myroadtrip YYC Travels office for 30 days. Items not claimed within this period may be discarded or donated.
