Sometimes a transaction may seem to disappear from QuickBooks. You may expect to see a payment, expense, deposit, invoice, or other entry, but it is not visible where you normally look.
The transaction may have been deleted, voided, changed, filtered out, or entered in a different account. QuickBooks provides several ways to track down these missing transactions, including account registers and the Audit Log
The account register is one of the first places to look for a missing transaction. It shows the transaction history associated with an account. QuickBooks Online also lets you filter and sort the register to make specific transactions easier to find.
In QuickBooks Online:
Go to Settings > Chart of accounts.
Find the account where you expect the transaction to appear and select View register.
Review the transaction list. You can use the filter option to search by date, amount, reference number, or other available details.
If you find the transaction, open it to review its details.
A transaction may not actually be missing. It could simply be hidden by a filter.
When reviewing an account register, check the date range and other filters. Clear the filters and select View All if necessary.
Also check whether you are looking at the correct bank, credit card, income, expense, or other account.

If the transaction was deleted, it will no longer appear in the normal account register. However, the deletion can still appear in the Audit Log.
Open the Audit Log and filter the results to the appropriate date and user.
You can also use your browser's search function, such as Ctrl + F, and search for the word Deleted to find deleted transactions more quickly.
Select View in the History column to see the available transaction information.
Remember that a deleted transaction cannot simply be restored in QuickBooks Online. If you need it back, use the information from the Audit Log to manually recreate the transaction.
A transaction may also appear to be missing because it was voided instead of deleted.
A voided transaction remains in the records, but its amount is changed to zero and it is marked as void.
If you know the transaction number or other details, search for it and check its status.
You can also review the Audit History to see who changed the transaction, when it was changed, and what happened to it.
If you find the transaction but something about it looks different, open its Audit History.
Depending on the transaction, select More actions > Audit history.
The Audit History can show who made changes, when the changes were made, and what was changed.
This can help you determine whether the transaction was edited, voided, or otherwise changed.
If the missing transaction came from a connected bank account, check your bank transactions area as well.
A downloaded transaction may still be waiting for review instead of being added to your books. It may also have been excluded.
Compare the transaction with your actual bank statement to determine whether it should be in QuickBooks.
If you find the transaction in the bank feed but not in the account register, review its status before adding it again. This can help prevent duplicate entries.
Another common reason for a missing transaction is an incorrect date range.
For example, if you are looking only at transactions from one month but the transaction was entered with a date from the previous month, it may not appear in your search.
Expand the date range and search again.
Also check the transaction date itself if you find it in the Audit Log.
If the transaction was deleted in QuickBooks Online, you cannot restore the original transaction directly. Instead, use the Audit Log to find its details and manually enter it again.
Before recreating it, compare the information with your bank statement, invoice, receipt, or other source document.
This helps ensure that the replacement transaction contains the correct date, amount, account, and other details.
Be careful when changing or recreating a transaction that was part of a previous reconciliation.
Deleting or changing a reconciled transaction can affect your beginning balance or reconciliation results. QuickBooks recommends reviewing the Audit Log for deleted or voided transactions when investigating reconciliation differences.
If you are unsure about changing an older reconciled transaction, consider asking your accountant to review it first.
